About The Position

The Medical Office Assistant is responsible for the efficient management of front office operations within a medical practice. This includes greeting and registering patients, scheduling appointments, verifying insurance, collecting payments, managing medical records, and maintaining effective communication with both patients and staff. The Medical Office Assistant serves as a vital part of the healthcare team, ensuring a positive experience for patients and accurate administrative support for the practice.

Requirements

  • Highschool diploma or GED required.
  • One year of clerical experience in a medical office preferred.
  • Knowledge of Microsoft Office (Word, Excel), general office equipment and practice software platforms.
  • Basic understanding of medical terminology.
  • Strong verbal and written communication skills.
  • Ability to multitask and work effectively under pressure.
  • CPR certification (within 30 days)
  • Experience with EMR and PM Systems
  • Ability to walk, sit, stand, push, pull, bend, stoop, reach, and lift up to 30 pounds.
  • Must be able to pass FIT test as required for the position.

  • Prefer Certified Medical Administrative Assistant (CMAA)

Responsibilities

  • Greet patients and visitors in a courteous and professional manner.
  • Schedule and confirm patient appointments in accordance with practice guidelines.
  • Register patients by verifying and updating demographic, insurance, and contact information.
  • Collect copays, reconcile cash drawers, and prepare daily deposits.
  • Answer phones, return messages, and route calls appropriately.
  • Maintain front office inventory and notify appropriate staff of supply needs.
  • Ensure outgoing and incoming referrals are processed and followed through to completion.
  • Scan and upload documents into electronic medical records (EMR).
  • Process EMR and PHI request in a timely and compliant manner.
  • Message clinical and non-clinical staff through EMR system.
  • Maintain confidentiality and uphold HIPAA compliance.
  • Attend staff meetings and adhere to Iredell Health System and IPN policies.
  • Maintain a clean, organized, and professional front office and waiting area.
  • Support additional administrative tasks as directed.
