Requirements

  • High School Diploma or Equivalent
  • Language Skills - the ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
  • Mathematical Skills - basic math skills required
  • Reasoning Ability - the ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
  • Computer Skills - To perform this job successfully, an individual should have knowledge of Electronic Medical Record systems; Database Software; Internet Software; Spreadsheet software, and Word Processing software.
  • Minimum typing speed of 45 wpm with nil errors.
  • Approximately 50% of the job description for this position relates to the ability to successfully relate, work effectively, and get along well with patients and colleagues.
  • Friendly, outgoing personality with a pleasant disposition who cares about others.

  • Strong interpersonal skills and marketing/sales experience is a plus.

Responsibilities

  • Manage and coordinate appointment schedules for multiple providers, including patient booking, cancellations, and confirmation calls.
  • Maintain and update patient electronic health records (EHR) with accuracy and confidentiality, ensuring compliance with HIPAA regulations.
  • Act as the primary point of contact for patient communications, fielding phone calls and emails to address inquiries or route them to the appropriate staff.
  • Verify patient insurance eligibility and benefits, and process co-payments and other patient payments at the time of service.
  • Oversee the inventory of clinical and administrative supplies, placing orders to ensure the office is adequately stocked for daily operations.
  • Coordinate the patient referral process by preparing necessary documentation and communicating with specialists’ offices.
  • Prepare patient charts and necessary forms for upcoming appointments to support an efficient workflow for clinical staff.
  • Facilitate the new patient intake process by collecting all required registration forms, medical histories, and insurance information.
  • Being bilingual (Read & Write) is required (English/Spanish)
