About The Position

A growing healthcare practice is seeking a professional, reliable, and patient‑focused Medical Scheduler to support two busy medical office locations. This role is essential to ensuring smooth patient flow, timely scheduling, and excellent communication between patients, staff, and providers. This is a fully on‑site position offering strong long‑term potential, structured training, and the opportunity to support a mission‑driven clinical team. Candidates must be dependable, punctual, and comfortable working in a fast-paced environment. As a Medical Scheduler, you will serve as both a patient-facing and administrative support professional. You will interact directly with patients, answer inbound calls, assist with scheduling needs, and support the clinical and front-office team with accuracy and professionalism. You must be able to work at both the Largo and Brandywine office locations, depending on staffing schedules, which will be communicated in advance. Reliable transportation is required.

Requirements

  • Medical office or medical scheduling experience (highly preferred).
  • Experience with EMR systems (Epic is a plus but not required).
  • Strong customer service and communication skills.
  • Professionalism, attention to detail, and strong organizational abilities.
  • Reliability — this is the top priority.
  • Ability to manage fast-paced scheduling demands and multitask efficiently.
  • Comfort floating between two practice locations.

Responsibilities

  • Schedule appointments for new patients, returning patients, and referrals based on provider guidelines.
  • Maintain accurate and up‑to‑date provider scheduling templates, including cancellations, reschedules, or provider availability adjustments.
  • Coordinate outside testing, imaging, or procedures when needed.
  • Communicate clearly with patients regarding appointment instructions or required pre‑visit preparation.
  • Manage high-volume incoming calls and route messages appropriately.
  • Assist patients with questions, appointment changes, or general inquiries.
  • Provide a professional and welcoming experience during in‑person interactions.
  • Collect co‑pays or required payments at the time of visit when applicable.
  • Enter insurance authorizations and referral details accurately into the EMR system.
  • Verify insurance information and ensure documentation is complete prior to appointments.
  • Maintain confidentiality and follow all clinic policies and HIPAA guidelines.
  • Assist with office paperwork, correspondence, and communication requests from supervisors.
  • Support additional front‑office duties as needed to ensure smooth operations.
  • Collaborate with clinical and administrative staff to maintain efficient workflows.
