About The Position

The Medical Scheduler is responsible for managing all inbound phone communications and coordinating patient appointments for a busy ophthalmology practice. This role serves as a primary point of contact for patients, providing excellent customer service while ensuring accurate scheduling, call routing, and general patient assistance. The ideal candidate is organized, professional, and comfortable handling a high volume of calls in a fast-paced medical environment .

Requirements

  • High school diploma or equivalent
  • Previous experience in a medical office, call center, or customer service role
  • Strong verbal communication and phone etiquette skills
  • Ability to manage high call volumes while maintaining accuracy
  • Proficiency with computers and medical scheduling or practice management software
  • Excellent customer service and interpersonal skills
  • Strong organizational and multitasking abilities
  • Attention to detail and accuracy
  • Ability to remain calm and professional in a fast-paced environment
  • Team-oriented with a patient-centered approach

Nice To Haves

  • Experience in an ophthalmology or specialty medical practice
  • Knowledge of medical terminology

Responsibilities

  • Answer all incoming phone calls promptly and professionally
  • Route calls to appropriate staff or providers as needed
  • Address patient questions regarding appointments, providers, services, office policies, and basic procedures
  • Take accurate messages and ensure timely follow-up
  • Maintain a courteous, empathetic, and patient-focused demeanor at all times
  • Schedule, reschedule, and cancel patient appointments for ophthalmology services
  • Verify appointment details, provider availability, and visit type requirements
  • Confirm appointments and provide patients with preparation instructions when applicable
  • Monitor provider schedules to maximize efficiency and minimize gaps
  • Manage urgent appointment requests and escalate clinical concerns per office protocol
  • Enter and update patient demographic and insurance information accurately in the practice management system
  • Verify patient eligibility and referral requirements as needed
  • Document call details, scheduling notes, and patient interactions appropriately
  • Support front office operations and collaborate with clinical staff to ensure smooth patient flow
  • Maintain patient confidentiality and comply with HIPAA regulations
  • Follow established office policies, procedures, and scheduling guidelines
  • Demonstrate professionalism and attention to detail in all communications
