About The Position

A busy medical office is seeking a reliable and detail-driven Medical Scheduler to support patients, physicians, and clinical staff. This role requires strong communication skills, excellent professionalism, and the ability to work in a fast-paced environment. Attendance and reliability are crucial due to the needs of the office and previous turnover from other agencies. This is a contract-to-hire position with strong potential for permanent employment based on performance.

Requirements

  • High school diploma or equivalent
  • 1–3 years of experience (medical office preferred)
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office (Outlook, Word, Excel)
  • Demonstrated reliability, professionalism, and consistent attendance

  • Basic understanding of medical terminology and coding

  • Healthcare experience is preferred, but candidates with excellent customer service backgrounds will be considered if they meet the expectations above.

Responsibilities

  • Answer incoming calls and route appropriately.
  • Document and relay messages accurately and in a timely manner.
  • Provide high-level customer service as the first point of contact for patients.
  • Schedule new, return, and referred patient appointments within the EMR.
  • Manage cancellations and rescheduling per office and physician guidelines.
  • Maintain and update office scheduling templates including physician coverage, rounding, and meetings.
  • Enter insurance authorizations and referral documentation into patient charts.
  • Collect co-pays, deductibles, and other patient-responsible balances.
  • Coordinate financial counseling appointments when needed.
  • Prepare and complete various forms, letters, and correspondence.
  • Assist with general front-office duties and provide coverage as needed.
  • Maintain HIPAA compliance and protect patient confidentiality.
  • Schedule outpatient appointments, procedures, tests, and surgeries.
  • Obtain required pre-certifications.
  • Explain prep instructions and follow-up requirements to patients.
  • Track required pre-operative testing to ensure surgical readiness.
  • Schedule post-operative follow-up appointments.
