About The Position

The Medical Support Specialist is responsible for providing administrative support to medical staff, managing medical records, scheduling appointments, and ensuring the smooth operation of the medical unit. This role plays a crucial part in supporting the delivery of high-quality care to our clients and maintaining efficient communication within the medical team.

Requirements

  • High School Diploma or GED required.
  • BLS Certification required, will train upon hire.
  • Handle with care required, will train.
  • Previous experience working as a medical receptionist, unit clerk, or similar role.
  • Knowledge of medical terminology and electronic health record systems.
  • Strong organizational skills and attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to prioritize tasks and work efficiently in a fast-paced environment.
  • Compassionate and empathetic attitude towards clients struggling with addiction.
  • Knowledge of airborne and blood borne pathogens (TB, HIV, AIDS, HB) and risk reduction methodologies and the use of universal precautions.

Responsibilities

  • Greet and assist clients, answer calls, and route inquiries appropriately.
  • Schedule, coordinate, and monitor client appointments and provider schedules; send daily reminders and promptly reschedule missed visits.
  • Maintain accurate, confidential medical records.
  • Track and manage medical supply inventory to ensure adequate stock.
  • Interact professionally and compassionately with clients, families, and staff.
  • Communicate appointment and care information clearly to clients and families.
  • Collaborate with physicians, nurses, and interdisciplinary team members to support efficient care.
  • Serve as liaison to address client and family questions or concerns.
  • Enter, update, scan, and manage client information and documents in the electronic health record.
  • Complete Releases of Information and request records as directed.
  • Maintain strict confidentiality and comply with all legal, ethical, and organizational privacy standards; access and share PHI only as necessary for job duties.
  • Maintain professionalism, sound judgment, and appropriate boundaries.
  • Attend required meetings and trainings and follow all policies of the company.
  • Report privacy concerns, policy violations, and incidents promptly and accurately.
  • Maintain a clean, organized, and efficient workspace.
  • Perform additional duties as assigned and remain flexible to scheduling or role changes within the treatment team.
