About The Position

The West End Next Gen Ministries Administrative Assistant is responsible to the church, under the direction of the Next Gen Minister for providing administrative support and assistance in all areas of weekly programs, special events, outreach events or projects, and other church-sponsored community events that are a part of Next Gen Ministry areas which include Preschool, Kids, Student, Embrace special needs, and Foster and Adoption ministries.

  • A mature Christian who demonstrates the Fruit of the Spirit, is growing in their faith and is committed to spiritual disciplines such as Bible reading, prayer

  • Demonstrates strong written and verbal communication skills
  • Be detail-oriented and administratively-minded
  • Must possess good organizational skills
  • Dependable, discreet, friendly, professional and neat
  • Must be proficient in, or demonstrate quick adoption of, computer software and data management and meet the Brentwood Baptist employee benchmark for computer competency (for administrative positions only)

Nice To Haves

  • Preferred Bachelor’s degree from four-year college or university
  • Minimum of two years related experience and/or training or equivalent combination of education and experience

Responsibilities

  • Assists in the implementation of weekly ministry programs by providing administrative support to Next Gen Minister. This includes scheduling and updating of room reservations, preparation of curriculum, the purchase and organization of supplies, and communication with leaders, students, and parents.
  • Administer daily/weekly details of the Next Gen ministries including administrative support to lay leaders as needed
  • Provide administrative support for special events related to Next Gen ministries
  • Input and manage contact and event information in church’s online data-management system (Ministry Platform)
  • Track Sunday and Wednesday attendance and enter rolls into Ministry Platform for all Next Gen ministry areas
  • Answer and return phone calls regarding general Next Gen ministry information
  • Assist in following up with visitors in Next Gen ministries each week
  • Assist in monitoring Next Gen ministries budgets by collecting payments for events and making deposits into Next Gen ministry accounts
  • Administrative support for sub-ministries (Preschool, Kids, Student, Embrace special needs, Foster and Adoption)
  • Communication with families through mail-outs, emails, phone calls, etc.
  • Logistics for special events including, but not limited to, booking, registrations, transportation, lodging, meals, etc
  • Work with Communications Team to request bulletin announcements, inserts, web articles and banners and other promotional needs
  • Credit card reconciliation for Next Gen Minister through online financial-reporting system
  • As needed, work with Communications, Facilities, and Tech in securing all applicable resources
  • Work with Next Gen Minister to make sure that all new or incoming volunteers have completed the vetting processes, have passed their background checks, and have completed Ministry Safe training
  • Assist in scheduling and preparing Next Gen staff and/or leader meetings
  • Participation in staff meetings as required by the department
  • Assist with Ministers in Residence onboarding/needs as requested
  • Complete other duties as assigned by supervisor
