Requirements

  • High school diploma or equivalent required
  • 5 years admin lead experience preferably in healthcare industry.

Responsibilities

  • Oversees the day to day hospital operations in conjunction with the Nursing Directors.
  • Monitors the workflow to ensure completion of work.
  • Distributes assignments as required for the workload.
  • Assists in maintaining and updating the policy and procedure manuals for Nursing Administration and Infection Control.
  • Uploads all policy and procedures as it relates to Nursing.
  • Assists Directors in completing performance evaluation for staff.
  • Distributes departmental paychecks during normal business hours every 2 weeks.
  • Responsible for routing all approved staffing requisitions to Human Resources as well as all personnel status changes.
  • Responsible for routing all nursing employee's initial and annual competencies to Human Resources.
  • Responsible for maintaining the Human Resources log for Nursing Administration.
  • Creates files for all new Managerial/Supervisory staff as it pertains to areas reporting to the Director.
  • Prepares and maintains agency files/logs, maintains agency contracts.
  • Verifies licenses for all Nursing personnel.
  • Distributes monthly evaluations pertaining to all Nursing areas.
  • Responsible for maintaining the minutes and agendas for various division or functional team meetings.
  • Provides nursing reports to the Director of Nursing Administration.
  • Assists the Director of Nursing Administration with responsibilities and adjust work schedule to meet departmental needs.
  • Utilizes appropriate resources to resolve problems or issues.
  • Demonstrates good organizational skills and follow up for prioritizing on assigned projects.
  • Establishes and maintains an effective relationship with Nursing Directors in an effort to achieve common goals and objectives.
  • Constructively deals with difficult or frustrating situations.
  • Demonstrates flexibility in meeting needs of the department.
  • Works cooperatively with others.
  • Shows consideration in interactions/communications with co-workers and other personnel.
  • Greets people entering the office.
  • Maintains a professional demeanor at all times.
  • Directs individuals to the appropriate department and maintains good communication skills with all levels of personnel with faculty, Managers and hospital staff.
  • Responds to and refers phone calls timely, appropriately, and with courtesy to appropriate individual and/or department.
  • Assists in planning administrative functions and using initiative and judgment to plan and carry out the details of every assignment.
  • Refers unusual requests or situations to the Director of Nursing Administration.
  • Maintains Directors, Clinical Nurse Manager, Nurse Clinicians and Nursing Administration's Kronos payroll.
  • Schedules meetings, conferences, etc., for Nurse Directors.
  • Orders office supplies and prepares purchase requisitions in a timely manner.
  • Distributes mail to the Directors.
