About The Position

The Nursing Operations Coordinator is a high-level position with significant responsibility. The Nursing Operations Coordinator provides high-level administrative, compliance, and operational support for the Nursing Program. This position is responsible for maintaining accurate academic, regulatory, and accreditation records; coordinating student and faculty compliance requirements; and supporting the efficient operation of the nursing department. This role serves as a central point of coordination to ensure the nursing program meets institutional, accreditation, and regulatory standards while supporting student success and faculty effectiveness.

Requirements

  • Associate’s degree or equivalent years of experience.
  • Minimum of five years of administrative experience, preferably in higher education, healthcare, or a regulated environment.
  • Experience in nursing, allied health, or healthcare education.
  • Familiarity with accreditation, regulatory compliance, or academic reporting.
  • Experience with learning management systems, student information systems, or accreditation software.
  • Demonstrated ability to manage confidential records in compliance with FERPA and institutional policies.
  • Strong organizational, time management, and attention-to-detail skills.
  • Proficiency in Microsoft Office and database or record-management systems.
  • Strong written, oral, and interpersonal communication skills.
  • Ability to work independently and in a team environment.
  • Ability to fluently read, write, and understand the English language.
  • Proficiency with the following, but not limited to: active listening; speaking; writing; critical thinking; judgment and decision making; monitoring; reading comprehension; time management; coordination; and management of personnel resources.

Responsibilities

  • Maintain and monitor student records related to enrollment, progression, clinical eligibility, graduation, and licensure.
  • Track and verify student compliance with clinical requirements, including immunizations, background checks, drug screens, CPR, and health documentation.
  • Coordinate student clearance for clinical placements and ensure documentation is current and complete.
  • Support graduation verification and NCLEX eligibility processes.
  • Assist with onboarding of new and returning students, including orientation logistics and communication.
  • Maintain faculty and clinical instructor credential files, including licenses, certifications, CVs, immunizations, CPR, and compliance documentation.
  • Track and maintain adjunct and clinical instructor contracts and appointment records.
  • Assist with onboarding and access for new faculty and staff.
  • Coordinate schedules, course assignments, and laboratory and simulation usage as needed.
  • Maintain organized and current documentation for CCNE, ACEN, and the Missouri State Board of Nursing.
  • Compile, monitor, and report data related to program outcomes, faculty qualifications, student progression, and clinical partnerships.
  • Assist in preparing reports and evidence for accreditation and regulatory reviews.
  • Support ongoing data collection for the program’s Systematic Evaluation Plan (SEP).
  • Serve as the primary administrative contact for students, faculty, and external partners.
  • Manage departmental calendars, communications, and deadlines.
  • Coordinate meetings, orientations, and special events including pinning and graduation.
  • Maintain organized electronic and physical filing systems.
  • Track and maintain key program metrics, including enrollment, retention, progression, and licensure data.
  • Assist in preparing reports for department leadership and institutional stakeholders.
  • Support continuous quality improvement through accurate data management and reporting.
  • Practice superior customer service.
  • Fulfill additional responsibilities as assigned.
  • Display respect and civility to all constituencies in all communications.
  • Attend work timely and on a regular basis during the established hours of operation; work additional hours as business necessitates.
  • Ensure proper workflow of internal academic processes, including but not limited to:
  • Faculty annual reviews.
  • Faculty load determination, course release tracking, and stipend requests.
  • Faculty hiring searches.
  • Coordination of logistics for new faculty and new chair transitions.
  • Course schedule coordination and updating.
  • Catalog revisions.
  • Course syllabi collection and archiving.
  • Degree maps collection and archiving.
  • Adjunct hiring contract management.
  • Annual program updates.
  • Initiate and track tickets with Tech Services toward process improvement.
  • Prepare budgetary documents for review by the School Dean.
  • Utilize and update records in relevant software.
  • Troubleshoot issues as they arise within the Nursing Program
  • Assist the Chair with special projects, reporting, and events.
  • Coordinate general processes with faculty, other School Administrative Specialists, the Director of Academic Operations, Registrar’s Office, Payroll, and other internal stakeholders.
  • Greet and assist visitors to the nursing program
  • Answer phones and emails.
  • Taking and relaying accurate and complete messages.
  • Scheduling meetings.
  • Making copies.
  • Filing.
  • Record minutes for various meetings within the program.
  • Coordinate internal and external mailing services.
  • Probation, Suspension, and Dismissal letters.
