About The Position

Gymreapers is looking for a highly organized, proactive Office Manager to own the day-to-day operations of our headquarters. This role ensures the office runs smoothly, efficiently, and professionally while supporting travel, supplies, vendors, and internal coordination. You’ll be the go-to person for keeping the engine running — removing distractions so our teams can stay focused on growth.

Requirements

  • 2–5 years experience in office management, administrative operations, or similar role
  • Strong organizational and time-management skills
  • High attention to detail and follow-through
  • Comfortable working cross-functionally with finance, leadership, and operations
  • Proficient with Google Workspace, basic expense tools, and scheduling platforms
  • Positive, proactive, service-oriented mindset

Responsibilities

  • Own day-to-day office operations to ensure a clean, stocked, organized, and functional workplace
  • Order and manage office supplies, kitchen inventory, equipment, and company swag
  • Coordinate office layout, seating changes, and general workplace needs
  • Act as point of contact for office issues, vendors, building management, and service providers
  • Manage incoming mail, deliveries, and shipments
  • Work with tenants, on an as needed basis, for any repair or lease maintenance issues
  • Book and coordinate travel for executives and team members (flights, hotels, rental cars)
  • Manage travel calendars and ensure itineraries are accurate and cost-efficient
  • Assist with offsites, events, and internal meetings as needed
  • Track travel expenses and submit documentation to finance (using billing software)
  • Partner closely with the Controller on administrative workflows
  • Assist with invoice processing, expense tracking, and vendor documentation
  • Maintain organized digital and physical records
  • Help ensure compliance with internal processes and approvals
  • Support onboarding logistics (workspace setup, equipment ordering, access coordination)
  • Source, manage, and communicate with office vendors (cleaning, maintenance, supplies, catering, etc.)
  • Track vendor contracts and renewals
  • Identify opportunities to reduce costs or improve service levels
  • Support company culture through office organization, team lunches, celebrations, and morale initiatives
  • Be a friendly, dependable point of contact for employees visiting or working onsite
  • Assist leadership with ad-hoc administrative needs as they arise
