About The Position

The Office Administration Support Specialist plays a vital role in supporting the day-to-day administrative and operational obligations related to each facility being serviced. This position is responsible for tending to customer inquiries and account management in addition to assisting with daily accounting functions, revenue reporting, office coordination, and administrative tasks utilizing various on-line platforms to ensure constant and efficient management of parking operations across multiple facilities. This role requires strong attention to detail, organizational skills, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will possess excellent communication skills (both verbal and written) and a solid understanding of accounting platforms and procedures while maintaining professionalism and confidentiality at all times.

Requirements

  • Microsoft Office Experience: Including Excel, Word, Outlook
  • Will require use of personal vehicle.
  • Work shifts may require evenings, weekends, and on-call status.

  • Ability to multi-task in high paced environment while using critical thinking and problem-solving skills.
  • Able to stand and/or sit for long periods of time.
  • Amenable to working outside in the elements, if needed.

  • Experience in parking is preferred but not mandatory.

Responsibilities

  • Respond promptly to inquiries via phone, email, and in-person regarding parking services, rates, and policies for multiple locations.
  • Assist in customer account set-up, payment options, activation of permits, permit issuance, explanation of logistics/terms & conditions, account terminations, etc.
  • Respond to client/customer requests and promptly relay to the operations team
  • Assist with daily reconciliation of parking revenues, credit card transactions, and cash deposits from multiple locations and/or payment platforms.
  • Maintain accurate and organized records of financial transactions, bank deposits, and audit documentation.
  • Collaborate with management and the corporate accounting team to ensure timely and accurate financial submissions.
  • Verify payment platform reports to ensure all data aligns with deposit and transaction records.
  • Serve as the primary administrative contact for local operations, supporting management, enforcement, and maintenance teams.
  • Assist in distributing parking permits and managing account information.
  • Manage office supplies, correspondence, and general recordkeeping.
  • Review daily activity reports/remote call logs for each facility to identify operational issues
  • Coordinate with vendors and service providers to maintain operational continuity across parking facilities.
  • Prepare internal communications, reports, and documentation to support operational goals.
  • Maintain confidentiality of personnel, financial, and operational information in accordance with company policies.
