About The Position

Elevated above the Distractions The Conservancy Office Administrator plays a vital role in the daily management of the Conservancy team. The Conservancy Office Administrator will be responsible for managing the softwares that are utilized to organize the resources of the Conservancy, accounting for the departments, answering phone calls and emails to the Conservancy and dispatching the issue to the appropriate department.

Requirements

  • High School Diploma or General Education Degree (GED) is preferred; secondary education in accounting and/or budget management is preferred.
  • 1-3 years of previous experience working in an office environment as an office administrator or coordinator is preferred; must have advanced computer skills and competency in the following, Microsoft Office including Word, Excel, and Outlook is required; must have strong communication and organization skills, must have a high attention to detail and the ability to multitask in a fast-paced environment all while maintaining a high level of professionalism.
  • Abide by Promontory policies and procedures and submit ideas for possible revision; work independently with little supervision; courteous and helpful with Promontory Club Members and employees; practice proper and timely communication.
  • Must be able to sit at a desk or in a meeting for extended periods of time; ability to lift 30lbs occasionally; must be willing to work various hours, nights, holidays and weekends when needed.
  • Must be authorized to work in the United States without sponsorship.

Responsibilities

  • Provide superior service to our customers (internal and external) at all times.
  • Respond to all employees, vendors and Promontory owners in a courteous, efficient manner, owning each problem until it has been resolved.
  • Duties include regular word processing, filing, copying, faxing, proofreading, data entry, accounting & budget management (A/P).
  • Assist with project oversight, partnering with the Director of Land Assets, Director of Conservancy to ensure short & long-term tasks are followed up on appropriately, and that all contractors are well-managed & scheduled.
  • Order new inventory parts as needed, coordinate and source new and existing vendors to achieve the best budgeting outcomes for the land assets departments’, in line with Promontory’s and The Conservancy’s ethical guidelines.
  • Order and maintain office supplies.
  • Maintain expense reports for purchase cards and other company cards.
  • Manage financial paperwork for all department community enhancement and reserve projects.
  • Using our club management software, Northstar, enter all conservancy invoices for payment.
  • Coordinate with accounting for invoice processing.
  • Track project spending in Northstar and utilize General ledger detail reports to manage spending versus budget.
  • Assist in the production and printing of various reports, charts, and graphs.
  • Maintain an organized filing system for assignments and related correspondence to facilitate an efficient and productive working environment (Some of this will live inside software).
  • Provide administrative support to departmental managers, empowering self-sufficiency for tasks they are routinely responsible for.
  • Assist in providing departmental morale with monthly birthday celebrations and employee recognition initiatives and training meetings.
  • Follow all company safety and security policies and procedures; report accidents, injuries and unsafe work practices to management.
