About The Position

A position within the Agriculture, Arts and Education Department, the Livestock Office Associate: • Guides all clerical duties in for the livestock competition and educational exhibits before, during, and after the annual fair, completes office and administrative support, answers questions from the public, and assists in the support of online entries and completion of fair time and post-fair reports.

Requirements

  • Excellent customer service, oral, and written communication skills.
  • Knowledge of office procedures and office equipment including computers and applicable software applications (e.g., Word, Excel, Outlook).
  • Good judgement, professionalism, and the ability to maintain confidentiality.
  • Ability to work independently or cooperatively in a group setting while being able to multi-task in a fast-paced environment where priorities often change.
  • Livestock experience and knowledge, including but not limited to; proper handling and animal welfare practices, health evaluation, identification methods, and showing.

Nice To Haves

  • Prior experience in clerking or coordination of livestock shows encouraged.

Responsibilities

  • Serve as a team player in the organization, development and functioning of the San Diego County Fair Large & Small Animal Livestock Competitions and Educational Exhibits.
  • Review and understand entry materials, entry fees, delivery dates, etc. to successfully answer exhibitor questions and assist exhibitors in online entry processes in person, via email, by phone, or through mail as needed.
  • Answer incoming calls and voicemails daily and/or redirect calls or messages to appropriate department or staff.
  • Prepare a calendar to assist in preparation of deadlines, judging, special department presentations and department contest and award ceremonies.
  • Assist with entries for the various competitions, and other clerical tasks related to the entries/competitions. Including, but not limited to: ο Knowledge of Microsoft Word to help in sending correspondence as requested by supervisor ο Knowledge of Excel to help create and maintain various spreadsheets ο Become familiar with department paperwork i.e., entry material, entry fees, delivery dates, etc. ο Help create and prepare correspondence for judges, presenters, speakers and volunteers in support of departmental events. ο Review department entry material for understanding and clarifications. ο Help maintain filing systems both paper and electronic.
  • Contact Associations for up-to-date information on registration procedures and coordinate the completion of Breed Association Result reports, Champion Summaries, Media Reports and Premium Proofs from the results of competitions.
  • Coordinate research, bidding, procurement, storage, inventory and distribution of awards including trophies, plaques, livestock banners, ribbons, buckles and other special awards.
  • Operate a variety of office equipment including a computer, copier, scanner, fax machine, telephone, and utilize various computer applications.
  • Perform responsibilities in an efficient manner and according to procedures to ensure expediency and accuracy while meeting deadlines.
  • Perform other related duties as assigned or requested when needed.
