The Opportunity: The "Air Traffic Controller" of the Shop Are you a master of multitasking who thrives in a high-energy environment? At FASTSIGNS/Pittsburgh , we don't just make signs; we manage complex projects from concept to installation. We are looking for an Office Coordinator to be the central hub of our operations. This isn’t a "boring" desk job. You will be intimately involved in the success of the center—assisting with business plans, managing accounts receivable, and ensuring our "Field Generals" and "Production Artists" have exactly what they need to succeed. Requirements

  • Proven Professional: 3+ years of administrative experience (preferably in a construction, manufacturing, or service-based industry).
  • Software Savvy: Highly proficient in Microsoft Office (Excel is a must) and Adobe Acrobat. You can learn new project management software quickly.
  • The "Can-Do" Philosophy: You don't wait to be told what to do. You see a problem (like low inventory or an unpaid invoice) and you solve it.
  • Communication Expert: You have great listening skills and the ability to build relationships with vendors, contractors, and customers.
  • Detail Obsessed: You catch the typos, the missing zip codes, and the unclipped attachments before they become problems.

Responsibilities

  • Be the professional face and voice of FASTSIGNS, greeting clients and directing project inquiries with energy and clarity.
  • Manage the "money out and money in." You will handle Accounts Receivable , invoice processing, and supply management to keep the shop profitable and stocked.
  • Ensure every Work Order is accurate and complete. You’ll be responsible for reporting, administrative writing, and maintaining the digital filing systems that keep us moving.
  • Assist the management team in daily meetings and marketing execution. You help turn "ideas" into "schedules."
  • From inventory control to analyzing project data, you ensure that no detail falls through the cracks.
