About The Role: As an Office Coordinator, you’ll be the heartbeat of the office— helping things stay on track and making sure everyone has what they need to do their best work. From coordinating office communications to tackling daily operations, you’ll handle a little bit of everything to keep the energy up and the workflow seamless. Whether it’s organizing spaces, assisting teams, or jumping in to solve problems, you’ll be the go-to person for keeping operations running smoothly!

  • You know how to create a great experience for others with top-notch customer service, clear and effective communication, and the ability to navigate conflicts with confidence.
  • You’re detail-oriented, organized, and great at managing your time—even when priorities shift.
  • Change doesn’t throw you off; you adapt quickly and keep things moving.
  • You’ve got at least a year of experience in customer service or administrative support.
  • You're comfortable with everyday tech and can easily navigate the digital tools needed in an internet-based company.
  • You’re reliable and show up when your team needs you.
  • Whether it’s lifting up to 25 lbs, standing for long periods, or handling boxes, you’re up for the physical parts of the job.
  • You have a valid driver’s license and a solid driving record, plus you're open to some travel when needed.

Responsibilities

  • Monitoring inventory, placing orders, and keeping your assigned office stocked, clean, and organized.
  • Managing office services such as lunches, snacks, and supply or courier runs.
  • Reporting facility issues through our internal ticketing system and coordinating with Custodians, Security, and Facilities to ensure timely resolution while keeping stakeholders informed.
  • Coordinating repairs and service for nonstructural office equipment such as beverage and coffee machines, serving as the main point of contact for third-party vendors.
  • Managing internal culture communications, including weekly email content, internal blogs, and digital postings, while ensuring consistency and attention to detail.
  • Partnering with cross-functional teams to support office events such as headshot sessions, blood drives, and company gatherings, and serving as the primary contact for event vendors.
  • Providing exceptional customer service to everyone who enters the building or calls the office.
  • Scheduling appointments, managing mail, coordinating deliveries, and serving as a point of contact for the security company.
  • Actively contributing to making the team and culture stronger by assisting with other duties as needed, excluding licensed activity.
