About The Position

Assist the parish office in carrying out its mission by coordinating and assisting the Business Manager and Pastor in all administrative support.

Requirements

  • Minimum High School Diploma or equivalent.
  • Excellent skills in organization and communication.
  • Bilingual, Proficient in English and Spanish.
  • Experience in a Catholic Church setting.
  • Must be a practicing Catholic.

Responsibilities

  • Daily coordination of the parish office and facilitation of communication with those working or interacting with the office, including external communications with priests and internal communications with parish leaders and parishioners.
  • Coordinate the Parish master plan calendar and the scheduling of events and rooms (including parish church, parish hall, and parish office).
  • Schedule events on the Parish calendar as needed, interfacing with the proper parish office and the Diocesan Pastoral Center contacts.
  • Upload all ministry schedules to the Parish calendar and resolve conflicts.
  • Upload the Mass and Confessions schedule in the Parish calendar.
  • Draft the Top Parish Events on an annual basis and make changes as needed.
  • Handle faculties for all visiting priests celebrating/concelebrating Masses at the Parish, as well as deacons/speakers'.
  • Assist in scheduling on all calendars.
  • Assist handling of wedding paperwork and communicate with the marriage coordinators.
  • Assist handling of the annulment paperwork and communicate with the Parish annulments' case manager volunteer.
  • Maintain Marriage and Annulment files, tracking case progress.
  • Complete status Animarum Annual Report for the Diocese.
  • Ensure office space is stocked and organized, and coordinate receipt of office supplies.
  • Coordinate collection counting teams.
  • Handle mail coming to the Parish.
  • Update and maintain office policies and procedure.
  • Other duties as assigned.
