About The Position

In consultation with the Medical Director and under the supervision of the Ambulatory Administrator or Director, the Office Manager III leads and manages either 2 or more clinics or has 20+ employees and all clinical and non-clinical activities of one - four departmental practices or satellite practices. Successfully leads and manages team to provide exemplary quality patient care and deliver excellent customer service by all office/department staff.

Requirements

  • 3 years Supervisory experience required
  • 3 years Operational experience in a clinical outpatient setting required
  • High School Diploma or GED required
  • Associates required

  • 2 years Clinical Background preferred
  • Bachelors Healthcare Administration, Business or a related field preferred

Responsibilities

  • Oversees the day-to-day operations of the practice, with guidance from the Ambulatory Administrator. Responsible for the management of personnel, supplies, equipment, and patient financial interactions to include collection of co-payments, co-insurance and cash handling. Implement system to standardize the quality of communications between offices by establishing clear responsibilities and consistent expectations, provide regular fair and constructive feedback.
  • Provides supervision for the non-provider staff, to include organizing work assignments, counseling, problem solving, scheduling, and productivity monitoring, evaluating performance, implementing performance improvement projects, and maintaining payroll functions.
  • Performs management duties to include participating in the hiring process, monitoring staff qualifications, staff orientation, staff training and scheduling. Ensure training and job competencies are completed prior to deployment.
  • Routinely conducts staff meetings to discuss operations, staff issues and customer satisfaction; reviews new policies and procedures; and shares general information.
  • Provides oversight of fiscal policies and procedures to include billing compliance, fiscal goals, cash handling functions, coding and encounter form processing.
  • Resolves medical/administrative problems and patient complaints through the facilitation of excellent lines of communication between staff and providers under the direction of the Ambulatory Administrator.
  • Implements and maintains Quality Improvement programs, proactively implements approved action plans to resolve problem areas, actively participates in goal setting for the practice and coordinates the efforts to meet the goals.
  • Maintains appropriate records, required documentation, and employee files, including physician credentials and licensure documentation.
  • Assist with all clinical support functions including, but not limited to registration, scheduling, and insurance coordination of benefits, managed care, and collections.
  • Participates as an active care team member in the coordination of patient care.
