The Office Manager provides administrative and operational support in a fast-paced, detail-oriented environment to the Site Manager and management team. This role ensures the accurate, timely, and professional execution of day-to-day business activities at the site.

Requirements

  • Minimum of 5 years of experience in the industrial construction or maintenance industry preferred.
  • Experience with Track or similar workforce/timekeeping systems preferred.
  • Strong communication, interpersonal, and problem-solving skills.
  • Excellent organizational and time management abilities.
  • Intermediate proficiency with Microsoft Excel, Word, and Outlook.
  • Ability to multitask and meet strict deadlines.
  • Flexibility to work overtime as required to meet operational needs.

Responsibilities

  • Prepare and process project-related payables and receivables.
  • Administer timekeeping and payroll records and processing.
  • Maintain and monitor employee swipe card, time clock, or sign-in systems.
  • Input, review, and balance daily timesheets.
  • Research and resolve reconciliation discrepancies between CAM systems and customer records.
  • Ensure invoice accuracy and proactively obtain customer approvals for third-party systems and/or signed invoices.
  • Maintain employee force and manpower reports.
  • Process accounts payable, invoices, and employee expense claims.
  • Receive, verify, and forward unemployment insurance claim forms to appropriate representatives.
  • Respond to employment verification requests in accordance with company policy.
  • Maintain weekly payroll files and supporting documentation.
  • Prepare and maintain weekly and monthly reports as required by the Site Manager.
  • Handle highly confidential, sensitive, and critical information with discretion.
  • Perform additional duties as directed by supervision.
