If so, Albany ENT & Allergy has the opportunity for you! We are seeking an Office Manager who brings organization, compassion, and leadership to a fast-paced, patient-centered environment. The Office Manager organizes, coordinates, and oversees all administrative duties of the office, ensuring the office runs smoothly and efficiently. The Office Manager is considered the operational oversight for all administrative and clinical personnel in the Saratoga office, directly supervising the Saratoga reception team as well as supporting the Clifton Park office supervisor and matters related to that office. They are responsible for being the liaison between the Saratoga office, staff, and HR for any staff issues or concerns, promoting effective communication among staff, and maintaining all office policies and procedures.

Requirements

  • Associate degree (A.A./A.S.) or equivalent from two-year college or technical school; and six to eight years related experience and/or training; or equivalent combination of education and experience in management in a medical office.
  • 3+ years of people management experience, including performance management and employee development.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to speak effectively before groups of customers or employees of an organization.
  • Ability to respond to and effectively resolve issues involving multiple areas and/or individuals.
  • Demonstrate excellent customer service skills in all interactions and communications with patients and their families, co-workers, and visitors.
  • Excellent time management and critical thinking skills.
  • Ability to work with staff at all levels, while remaining proactive, resourceful, and efficient, with a high level of professionalism, discretion, ethics, and confidentiality.
  • Ability to work independently and multitask.

Responsibilities

  • Manage the day-to-day operations of the Saratoga office by providing oversight and support to all administrative and clinical personnel.
  • Work closely and collaboratively with the Practice Administrator on reception staffing issues, including approving timecards, PTO, scheduling, recruiting, interviewing, onboarding, performance appraisals and all disciplinary matters.
  • Provides direct supervision of the Clifton Park Front Desk Supervisor which will include leadership, performance management, employee relations, timekeeping, recruitment, and terminations as well as onsite support and coverage when needed.
  • Prepare daily deposits and reconciliation.
  • Effectively address patient or staff issues and concerns.
  • Assist Audiology department by ensuring accuracy of Audiology appointment booking, verifying hearing aid benefits for specific vendors.
  • Handle any IT issues and troubleshoots with IT.
  • Assist Medical Records team by preparing and sending documents responsive to physician, patient, and attorney requests for medical records.
  • Responsible for maintaining Medical Office Suite by contacting property manager for any repairs or issues. Order supplies for the office.
  • Gather mail and faxes daily and distribute to proper departments.
  • Assist with the planning and execution of AENT employee events.
  • Maintain Call in list for Saratoga office and help to coordinate coverage. Provide back-up/coverage for receptionists.
  • Ensure the reception area is clean, neat, and welcoming to all patients.
