About The Position

ECDI is looking for an Office Manager for our Columbus headquarters. Under general supervision, the Office Manager will receive and navigate incoming calls and greet visitors to ECDI. They will provide general information and assistance to the public, and perform daily routine office support functions, including word processing, data entry and filing. The Office Manager will serve as a first point of contact for individuals calling and visiting ECDI, acting as an example of professional behavior to clients, staff, and guests. Additionally, they will provide coordination of onsite events and provide cross-departmental support, ensuring smooth operations at the Columbus office as well as other offices throughout ECDI’s footprint. This position is a 100% onsite role required to be in-office to greet and service clients. The starting annual salary range for this position is $53,000-$64,000.

  • High school diploma or GED plus three or more (3+) years of experience in a receptionist or general clerical role; or equivalent combination of skills and experience.
  • Must have access to transportation to travel to and from the office.

  • Professional working Spanish language skills are a plus.
  • Proficient understanding of databases or CRM systems is a plus.

Responsibilities

  • Greet and inform customers and clients on basic programs offered or direct to proper destination for more information.
  • Assist with event activities, including but not limited to set up and clean up, guest welcoming needs, ordering food or supplies.
  • Monitor the occupancy, reservations, and attendees of the rooms at the Columbus office.
  • Assist the WBC with upcoming events, reaching out to the event owner to ensure they are properly staffed and supported through the planning and day-of-event as necessary.
  • Maintain strict confidentiality when handling clients, staff, volunteer, and organizational information.
  • Support program operations by assisting with client intake, assessments, and orientations.
  • Collect and record program fees, client payments, and documentation in the daily cash log.
  • Provide administrative support across departments, including scanning and distributing mail, scheduling meetings, and maintaining contact records in Salesforce.
  • Coordinate with ECDI offices to ensure office management standards are followed and collaborate with the Director of Infrastructure on process improvements.
  • Support the standardization and improvement of operational processes across all ECDI and satellite offices.
  • Submit monthly documentation and explanations for WBC and other office-related purchases to the Fiscal department.
  • Assist Infrastructure with records management, office systems, space planning, and equipment procurement.
  • Support office space planning, including workstation moves, additions, and changes, and provide operational solutions as needed.
  • Coordinate with cleaning vendors to ensure services meet organizational standards.
  • Assist with vendor coordination, including ordering, stocking, and maintaining office and cleaning supplies.
  • Maintain accurate client and member records, including fee collection, status updates, appointment scheduling, and welcome communications.
  • Support training and classes by registering participants, preparing materials, coordinating instructors, and tracking attendance.
  • Assist with post‑event WBC data uploads, including 641 record transfers into Salesforce, ensuring data accuracy and integrity.
  • Receive calls, determine nature of need, gather information, and provide information as needed.
  • Direct callers to proper destination or point clients towards areas on ECDI website.
  • Prepare and process 100% of incoming and outgoing mail for the Columbus office, including but not limited to accurate weighing, coding, sorting, postage, and preparation of certified, overnight, and return receipt mail.
  • Sign for deliveries and notify recipients.
  • Contribute to the shared upkeep of the reception area, training room, upper conference room, and kitchen spaces.
  • Stock restroom with the appropriate supplies if needed.
  • Work with vendors to maintain all office equipment, and stock printers with copy paper as needed.
  • Assist with scheduling conference rooms.
  • Perform various clerical duties, including but not limited to copying, faxing, emailing, scheduling, and data entry.
  • Oversee the day-to-day activities of the office as the main point of contact in the reception area, keeping management informed of performance and concerns.
  • Maintain inventory and order office supplies.
  • Approve office supplies requests for all ECDI offices, using proper judgment regarding price and need.
  • Communicate any changes to office procedures to staff, and assume responsibility for observing, noting, and addressing any issues with compliance.
  • Represent the organization in a professional and courteous manner.
  • Support the Director of Infrastructure to oversee office policies and standards of operations for general office expectations.
  • Lead everyday duties with guiding and aiding the essential pillars of ECDI.
  • Actively rethink and outline practices that can better connect offices and departments.
  • Maintain a flexible manner, diplomatic dialogue, and show willingness to offer support to staff and clients.
  • Answer questions about pre-loan processes, lending processes, post-loan processes, and other ECDI programs.
  • Maintain a thorough working knowledge of and adhere to all ECDI policies and procedures.
  • Maintain accurate client files, documents, and profiles for necessary paper files and in appropriate tracking systems.
  • Participate in meetings and provide suggestions for improvement for the department and the organization.
  • Perform other related activities, as required, to assure department and organizational success.
