We are hiring an Office Services Coordinator to assist with day-to-day office operations at our Chicago headquarters, including ordering supplies, processing incoming and outgoing mail and packages, and general office organization. This position is based at our Chicago office Monday-Friday.

Requirements

  • This position requires a high school diploma or GED plus at least 1 year of experience in an office or mailroom environment.
  • Excellent communication skills, both verbal and written, with customers and company personnel
  • Ability to work on the fly and meet demands effectively and efficiently
  • Strong organizational and administrative skills required
  • General knowledge of Word, Excel, Outlook, and Adobe

Responsibilities

  • Sort and distribute incoming mail and packages promptly.
  • Pick up, sort, and process outgoing mail; run postage and charge back divisions in accordance with Office Services guidelines.
  • Maintain and update the mailroom database and Pitney Bowes package‑tracking system.
  • Maintain adequate shipping supply inventory.
  • Maintain inventory and replenish office kitchen supplies including reusable and disposable cups, mugs, plates, and utensils.
  • Maintain shared spaces (cafeterias and bathrooms) on the 5th and 6th floor: keep areas stocked with supplies; load/run/unload dishwasher as needed.
  • Distribute paper stock to all copiers and reorder as needed.
  • Maintain inventory of snacks and beverages for meetings.
  • Provide additional support at the front desk during busy times.
  • Assist with meeting logistics, including ensuring rooms are set up and reset after use.
