We publish the highly respected Sullivan on Comp legal treatise and conduct live training seminars and webinars. The firm develops lasting relationships with clients through superior legal services at significant value, and has grown rapidly since its inception in 1996. Due to our growth, we are now seeking an Office Supervisor to join our Inland Empire team.

Requirements

  • MUST HAVE a minimum of 3 years of experience in workers' compensation
  • MUST HAVE a minimum of 2 years of supervisory/leadership experience

Nice To Haves

  • Familiarity with the Legal Assistant role is preferred

Responsibilities

  • Manage all staff reporting to the position so as to effectively train, evaluate, motivate and delegate
  • Responsible for keeping a pulse on office morale and plan/conduct periodic team building events and activities to keep office environment cohesive (including birthday, anniversary, recognition events, and occasional team building exercises)
  • Monitor performance according to agreed standards and take necessary action to communicate/advise/assist in conjunction with Managing Attorney and Director of Human Resources.
  • Communicate disciplinary issues to HR. Issue verbal warnings with guidance. Obtain authorization from HR to issue formal write-up or termination of a staff member
  • Serve as advocate and resource for all Staff and provide guidance on firm policy. Make recommendations for suggested policies or office practices as may be appropriate for the needs of the Office.
  • Act as overflow/back up to Legal Assistants, File/Intake Clerks, and Reception
  • Order supplies and equipment as may be needed to keep office running efficiently. This may be done utilizing vendor recommendations from Operations Director as appropriate. Timely provide receipts/invoices of all expenses to Director of Finance
  • Contact Building Management regarding office issues (including office keys, parking, air conditioning/heating, etc.) to ensure proper functionality of office.
  • Order snacks and any necessary supplies for the office
  • Coordinate purchases and expenses with Managing Attorney
  • Perform a variety of miscellaneous general office administrative tasks, as needed
  • Participate in the recruitment process to include interviewing potential candidates for staff positions
  • Assist with coordinating marketing events
  • Assist in onboarding/training of Attorneys with regard to office policy and procedures
  • Conduct PracticeMaster, Billing, and Payroll related training
  • Keep staff informed of changes in office policy and procedure
  • Monitor the relationship between Attorneys and Staff to ensure a collaborative environment
  • Assist Attorneys with preparation of spreadsheets for File Reviews, as needed
  • Act as the Assistant to the Managing Attorney, as needed
  • Report issues to Executive Director or Managing Partner that arise with vendors, building management or other entities
  • Maintain MS&A culture, values and reputation with all staff, clients, vendors, courts and regulatory/official bodies
