About The Position

This position performs administrative support-related work in a maintenance office or district headquarters. Work requires contact with private entities. Employees at this level perform work independently on assignments; however, all unusual issues are referred to the supervisor.

Requirements

  • High School Grad or Equivalent in general education
  • Maintenance Support tech I: NO Experience Required.
  • Maintenance Support tech II: 1 YEAR in administrative or clerical support, customer service, or related experience.
  • Maintenance Support tech III: 3 YEARS in administrative or clerical support, customer service, or related experience.
  • (Experience can be satisfied by fulltime or prorated parttime equivalent)
  • Valid driver’s license.
  • This position requires driving a state vehicle.

Responsibilities

  • Answers the telephone, evaluates requests, answers questions, routes messages, and serves as receptionist or front desk assistant.
  • Assists district personnel with annual inventory of supplies, stockpiles and minor equipment.
  • Conducts monthly spot inventories, verifies inventory findings, reconciles and coordinates with Business Services on adjustments needed.
  • Edits correspondence, reports, forms, and documents for proper format, spelling, grammar, punctuation, typographical errors, syntax, style, sentence structure, content, and clarity.
  • Maintains and updates office files/records/logs and a wide variety of automated systems in support of personnel, finance, budgeting, maintenance, inventory, contracts, purchasing, travel information, and permitting activities.
  • Prepares statistical reports and verifies for accuracy and completeness.
  • Reviews, prepares and negotiates applicable program purchases for services, office materials, supplies, tools and equipment and monitors contracts.
  • Processes receipts and invoices for payment.
  • Performs other job responsibilities as assigned.
  • Maintains materials inventory.
  • Coordinates with district personnel with annual inventory of supplies, stockpiles and minor equipment.
  • Composes and prepares correspondence and applicable recurring or special one-time reports and confidential and sensitive communications.
