Those five guiding principles, known as the Celebration Cornerstones, consist of… SENSE OF COMMUNITY SENSE OF PLACE FOCUS ON TECHNOLOGY FOCUS ON EDUCATION FOCUS ON HEALTH Job Purpose: The Full-time Events Supervisor plays a vital role in enhancing the quality of life and fostering a sense of community within the homeowner's association (HOA) during peak seasons. This position is responsible for planning, organizing, and executing a variety of recreational, social, and cultural activities tailored to the interests and preferences of homeowners and residents.

Requirements

  • Good organizational, verbal and communications skills.
  • Computer skills including basic knowledge of MS Office programs including Outlook, Word and Excel.
  • Must be able to work on more than one assignment at a time with frequent interruptions, changes and delays.
  • Must be able to remain focused and work effectively, efficiently, and cheerfully under such circumstances.
  • Personal vehicle required; standard mileage reimbursement provided.
  • Must have the ability to perform moderate physical work and may be required to lift up to 50lbs.
  • Perform activities such as bending, kneeling, crouching, reaching, standing, lifting and grasping for up to 5 hours without sitting
  • Must be able to remain in a stationary position 50% of the time.
  • The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc.
  • Constantly operates a computer and other office productivity machinery, such as a calculator, copy machine, computer, and printer.
  • Constantly positions self to maintain files in file cabinets
  • The ability to communicate information and ideas so others will understand.
  • Must be able to exchange accurate information in these situations.
  • The ability to observe details at close range (within a few feet of the observer).
  • Frequently moves boxes weighing up to 20lbs across office for various needs
  • Works in outdoor weather conditions while onsite at various communities.
  • Occasionally ascends/descends a ladder or stairs.

Nice To Haves

  • Basic knowledge in volunteer management (Preferred but not required).

Responsibilities

  • Event setup, execution, and cleanup.
  • Document of resident participation in group and/or individual events/programs.
  • Create event flyers upon request based on the event theme and information. (Must be creative and follow legal guidelines.)
  • Review equipment inventory and prepare equipment for upcoming events.
  • After the training period, will be asked to help create and run smaller events independently (i.e. children and adult programs).
  • Must be able to work off budget, book vendors, and plan events with community interests in mind.
  • Order event supplies, décor, and equipment for events after approval from the direct supervisor
  • Encourage community participation by reviewing surveys from residents.
  • Provides excellent customer service, including interacting with internal and external customers to answer questions
  • Manage participant registration with our online portal.
  • Send e-mail blasts for events with links to RSVP and calendar.
  • Recruit and organize volunteers.
  • Assist with running an annual summer camp
  • Acts as a liaison with vendors, contractors, and coordinators across multiple communication methods to ensure a smooth operation of events and properly stores supplies after the event.
  • Works late nights, early mornings, weekends, and holiday hours when needed for event set ups and breakdowns.
  • Performs research as directed, such as discovering new event equipment, market research, etc.
  • Assists other town departments, as necessary.
  • Operates town-owned vehicles and/or equipment on occasion
  • Plus other work-related tasks as needed.
