Position Summary The Operational Support Supervisor serves as the primary execution partner to the Vice President of Operations, ensuring that strategic goals, operational standards, and financial objectives are met across multiple companies. This role focuses on coordinating day-to-day operational activities, tracking performance, ensuring cross-department alignment, and problem-solving to remove barriers to success. The Operational Support Supervisor is empowered to issue instructions and coordinate work with leaders in the Vice President’s and or Operation’s Manager absence to maintain momentum and operational continuity. This role works in close collaboration with the Operations Analyst, who focuses on in-depth data analysis and insights, while the Supervisor ensures the execution and follow-through of operational plans.

Requirements

  • High school diploma or equivalent required; associate or bachelor’s degree preferred.
  • 3+ years of experience in operations coordination, project support, or multi-department business operations.
  • Advanced skills in Google Sheets and/or Microsoft Excel (complex formulas, pivot tables, charts, conditional formatting).
  • Strong organizational skills with the ability to manage multiple priorities.
  • Excellent problem-solving and communication abilities.

  • Familiarity with healthcare operations, compliance, or regulated industries preferred.

Responsibilities

  • Operational Execution & Coordination Partner with the Operations Manager to turn strategic objectives into actionable operational steps.
  • Coordinate daily workflows across multiple companies to meet quality, service, and efficiency standards.
  • Monitor project and task progress, ensuring deadlines are met and issues are escalated promptly.
  • Serve as the Operation’s Manager representative in their absence, providing direction to leaders to ensure continuity.
  • Data Tracking & Reporting Build and maintain operational trackers and dashboards for KPIs, budgets, compliance, and timelines.
  • Create spreadsheets with accurate formulas (SUMIFS, COUNTIFS, IF/IFS) for performance monitoring.
  • Track and reconcile data from multiple departments, ensuring leaders have clear, up-to-date information.
  • Collaborate with the Operations Analyst to align reporting needs with real-time operational priorities.
  • Problem Solving & Process Improvement Identify operational bottlenecks and recommend solutions.
  • Assist in developing and documenting SOPs and best practices.
  • Coordinate the rollout of process improvements and new systems across entities.
  • Compliance & Quality Support Support company wide compliance initiatives, including HIPAA and operational audits.
  • Ensure adherence to safety and quality standards in all operational functions.
  • Stakeholder Communication Act as the central communication hub between the Vice President, Center of Excellence, and support departments.
  • Prepare meeting agendas, operational updates, and follow-up documentation.
  • Maintain a decision and action log to track accountability across entities.
  • Represent the company by attending conferences, traveling out of state as needed, and delivering project presentations to internal leadership and external stakeholders.
  • Project Management: Collaboration with leaders, delivering change management and process execution by leading project communications, assigning owners, tracking milestones and KPIs, removing blockers, and ensuring teams are trained, accountable, and consistently following standardized workflows.
