Position Summary: This position reports directly to the Chief Operations Officer. The Operations Administrative Assistant provides essential operational, clerical, and organizational support to ensure the efficient functioning of all pharmacy operations departments. This role serves as a central point of coordination for communication, scheduling, documentation, and workflow support. The ideal candidate is highly organized, detail oriented, and capable of managing multiple responsibilities simultaneously while maintaining professionalism and accuracy. This position plays a key role in supporting pharmacy operations management, staff, clients, and vendors.

Requirements

  • High school diploma or equivalent required.
  • Minimum of three (3) years of administrative assistant or related business experience.
  • Excellent customer service and communication skills.
  • Proficient computer skills, including Microsoft Office applications (Word, Excel, PowerPoint, Outlook), is required.
  • Ability to obtain state pharmacy technician license is required. Will be provided by the company upon hire.
  • Excellent verbal and written communication skills.
  • Self‑motivated and able to work independently with minimal supervision.
  • Exceptional organizational and time-management skills with the ability to prioritize in a fast-paced environment.
  • Ability to interact effectively and professionally with clients, vendors, and staff members.
  • Ability to maintain strict confidentiality at all times.
  • Strong problem-solving and decision-making skills with a results-driven mindset.
  • Must be able to bend, stoop, lift, reach, walk and stand.
  • Must be able to sit for extended periods throughout the workday.
  • Occasional physical effort with light to medium objects.
  • Occasionally required to lift objects 10-25 pounds.
  • Able to reach, carry, grasp, and feel objects related to duties.
  • Must be able to pass pre-employment criminal background check and drug screening process.

Responsibilities

  • Prepare and edit written communications, including memos, emails, reports, letters, and instructional documents.
  • Manage data entry tasks to maintain accurate and up‑to‑date records.
  • Oversee printing needs, including preparing documents and materials for internal and external use such as monthly Medication Administration Records (MARs).
  • Serve as the pharmacy operations administrative support resource for implementations (startups and conversions) to include client order forms, manuals, and binders.
  • Maintain organized electronic filing systems for efficient retrieval of information.
  • Coordinate meetings and meals for groups within areas of support.
  • Order, organize, and maintain inventory of office and operational supplies
  • Track and adjust on hand qualities of supplies to meet changing business needs.
  • Coordinate the return of unused supplies when needed.
  • Reconcile invoices to ensure accuracy and resolve discrepancies.
  • Submit expense reports prior to monthly deadline in alignment with company requirements.
  • Assist with scheduling meetings, educational sessions, and departmental activities.
  • Support managers with pharmacy staff scheduling as needed to potentially include use of scheduling in Teams and/or iSolved.
  • Assist with quarterly client recognition activities.
  • Serve on and support the CSP Funmittee.
  • Carry out additional duties as assigned by the manager to include but not limited to helping staff the pharmacy in times of need and assisting with processing returns.
