About The Position

The Operations and Administrative Coordinator will be a key team member responsible for managing day-to-day operations, supporting creative projects, and helping build a strong organizational foundation for Borderlands Cinematic Arts. This individual will work closely with the leadership team to implement workflows, coordinate logistics, and facilitate the growth of our fellowship, productions, and public events. The ideal candidate is proactive, detail-oriented, and energized by the intersection of film, storytelling, and social impact. This position is grant funded with an ending date of 6/30/2028. Borderlands Cinematic Arts – Towards a visionary cinema of the borderlands Borderlands Cinematic Arts is a groundbreaking creative hub within Arizona State University’s Sidney Poitier New American Film School. More than just a studio, we’re a place where world-class storytellers craft cinematic works that capture the depth, complexity, and power of the borderlands experience. At Borderlands Cinematic Arts, we push the boundaries of storytelling through three key initiatives: ● Creating : Producing bold new films by our visionary founders—award-winning filmmakers and ASU professors Alex Rivera and Cristina Ibarra. ● Elevating : Supporting dynamic, mid-career filmmakers exploring social, political, and cultural borderlands through the Borderlands Visionary Fellowship. ● Inspiring : Hosting immersive public events that amplify voices, spark dialogue, and ignite a new era of borderlands cinema. We’re a small, mission-driven team dedicated to using film as a force for change and we’re looking for an Operations and Administrative Coordinator to help us grow this vision with efficiency, creativity, and care. Requirements

  • Bachelor's degree and three (3) years of experience appropriate to the area of assignment/field; OR, Any equivalent combination of experience and/or training from which comparable knowledge, skills and abilities have been achieved.
  • Minimum of 2 years of experience in operations, administration, or a similar role within a nonprofit, arts, or creative industry.
  • Strong organizational and project management skills, with the ability to multitask and prioritize effectively.
  • Excellent written and verbal communication abilities.
  • Proficiency in productivity tools such as Google Workspace (Docs, Sheets, Calendar), Apple Calendar, Microsoft Office Suite, and project management platforms (Trello, Asana, or similar).
  • Experience with budgeting, expense tracking, and financial reporting.
  • Ability to work independently, problem-solve proactively, and adapt to a dynamic work environment.

Nice To Haves

  • Interest in film, storytelling, and social impact is a plus.
  • Experience working at an agency, management or production company is a plus.

Responsibilities

  • Implement and maintain studio operations to ensure an efficient and productive work environment.
  • Track film, TV, and documentary project timelines, deliverables, and workflows across multiple initiatives.
  • Coordinate use of studio space, access to resources and equipment, including liaising with ASU facilities staff.
  • Develop and improve operational processes to support ongoing growth.
  • Coordinate all activities related to all educational initiatives and organization events including planning, execution, and wrap up.
  • Read scripts and provide coverage.
  • Provide administrative assistance to leadership, including calendar management, meeting coordination, and follow-ups.
  • Prepare reports, presentations, and internal documents as needed.
  • Process invoices, track expenses, and support budget management.
  • Arrange travel, coordinate events, and facilitate communication with external partners.
  • Serve as the primary point of contact for general inquiries.
  • Coordinate logistics, student communication, and administrative processes for Borderlands-led educational initiatives.
  • Responsibilities include managing student interest and enrollment tracking, supporting faculty with scheduling and communication, and serving as a liaison with ASU’s academic units as needed.
  • Assist in planning and coordinating events such as film screenings, master classes, and workshops.
  • Support fellowship-related activities, including communication with fellows and resource allocation.
  • Work collaboratively with leadership to set and meet goals, objectives, and operational benchmarks.
  • Contribute to grant reporting, donor management, and other development efforts as needed.
