About The Position

Manage the daily operations of all areas of a college or division, including accounting, controlling resources, creating finance reports, project management, and human resources functions (staffing units). Coordinate with multiple departments for administration of programs and quality services. Responsible for maintaining communication with staff through meetings, emails, and training sessions. Analyze and resolve business operations issues and needs. Provide quality control to business operations. Develop and implement business plans, policies, and procedures. Evaluate results within each business units to determine if organizational objectives are being met. Develop new business opportunities. Responsible for resolving conflicts and negotiating with others in organization. Reports on all aspects of business operations to executive leadership. Manages the daily operations of the office. Handles specialized assignments and inquiries directed to the Dean and serves as the personal assistant to the Dean. Serves as liaison between the Dean and the University as well as external constituencies. Develops policies and procedures related to office management, student employment and management, and other related processes. Keeps abreast of university policies and procedures and interprets for individual departments/school within the college. Responsible for preparing and managing the Dean's and department budgets along with the Budget Officer. Prepares special or confidential reports. Performs data analysis as appropriate for office. Coordinates the planning and development of special projects and/or events. Assists in training administrative assistants within the college and disseminating information that affects different departments. Works with college directors/chairpersons as assigned by the Dean to resolve complaints, problems, and other initiatives. Coordinates collection and preparation of operating reports as requested by the Dean. Coordinates meetings as needed. Attends meetings to take notes to be transcribed into documents. Responsible for creating on-line job requisitions for employment and job modifications for students. Works with dean on the promotion, tenure, and annual review process for the college. Responsible for the entry of all adjunct and overload pay in the Adjunct Portal each semester. Prepares and maintains full-time faculty reassignment time reports and full-time faculty teaching load reports. Works with the Office of High Impact Practices on faculty and student grants and budgets. Responsible for departmental tuition waiver reports each year. Maintains list of teaching assistants and submits tuition waivers each semester. Coordinates the annual faculty and staff awards process. Coordinates the election processes within the college. Coordinates the annual and mid-term school/department director/chair evaluations. Maintains faculty, college, and office files. Coordinates the building access process. Assists with the semester scheduling process. Assists with the event scheduling process within the Liberal Arts building. Assist Department Chairs/School Director with Optional Chair Stipends. Assist faculty on any compensation for additional work/duties. Assist students with academic conference travel requests.

Requirements

  • Bachelor’s degree in job related field plus 5+ years of work experience or equivalent combination of education and experience.
  • Requires work experience with leading, planning.
  • Appropriate professional accomplishments and credentials.
  • Ability to operate office equipment.
  • Ability to multi-task, meet deadlines, deal effectively with confidential or sensitive information and deal with individuals of diverse backgrounds, interests, and education.
  • Must be service-oriented and a team builder and player.
  • Ability to work well under pressure.
  • Detail oriented with strong organizational skills with the ability to interact with all levels.
  • Excellent proofing and editing skills.
  • Proficiency in Microsoft Excel, including the ability to create and manipulate spreadsheets, use formulas, and analyze data.
  • The ability to review budgets, track expenditures, and calculate remaining fund balances without formal accounting training.
