About The Position

In this position, you’ll be based in the Toronto ON Canada office for a minimum of three days a week, with the flexibility to work from home for some of your working week. Your working hours will be 37.5 hours a week, Monday to Friday with hours typically from 8.30am to 5.00pm, however overtime is required. Computershare has a great opportunity for you to provide excellent support for Project Managers as an Operations Mandatory Complex Project Administrator. The Corporate Actions Department, part of Issuer Services, is organized into two key groups: a front-office team responsible for client-facing activities and a back-office operations team that provides essential support. This Complex Administrator role is part of the back-office operations group and is responsible for processing items related to Corporate Action events that have gone effective. The role involves monitoring and processing incoming items to ensure all transactions are completed within prescribed deadlines and in line with client expectations. In addition, the Project Administrator is responsible for various tasks, including—but not limited to—setting up internal systems to support client events, preparing and auditing payments, managing smaller projects, conducting research, and resolving escalations as assigned. The Complex Administrator role sits within the back-office operations group and is responsible for the day-to-day processing of both simple and complex transactions for Corporate Action events that have gone effective. This includes reviewing documents submitted by shareholders, classifying items to the appropriate transactions, processing exchanges in SCRIP, handling maintenance requests, and completing quality audits for peers. The role also involves monitoring and processing incoming items to ensure all transactions are completed within prescribed deadlines and in line with client expectations. Additional responsibilities include weekly reject letter printing and mailing, setting up internal systems to support client events, preparing and auditing payments, managing smaller projects, conducting research, and resolving escalations as assigned. Requirements

  • University or College degree in Commerce, Finance, Business Administration or equivalent (preferred).
  • Canadian Securities Course (preferred)
  • 2 – 3 years progressive stock transfer experience (required)
  • Excellent communication and organization skills.
  • Possess a good understanding of the operational processes and terminology used and the Corporate Actions event lifecycle
  • The ability to take initiative, with a flexible and proactive approach to tasks.
  • Numeracy and problem solving

Nice To Haves

  • Knowledge of SharePoint, Cosmos Company and SCRIP (preferred)
  • Proficient with Microsoft Office suite, especially Excel (preferred)

Responsibilities

  • Process transactions on Corporate Action events that have gone effective to ensure accurate and timely completion within prescribed deadlines.
  • Review and classify documents submitted by shareholders to correctly allocate items to appropriate transactions.
  • Monitor and process incoming items related to Corporate Actions to maintain workflow efficiency and meet client expectations.
  • Conduct quality audits on peer transactions to uphold accuracy and reduce processing errors.
  • Manage maintenance requests and weekly reject letters to ensure timely resolution and proper communication with stakeholders.
  • Research and resolve escalations to provide accurate solutions and maintain client confidence.
  • Prepare and audit payments for Corporate Action events to ensure compliance with client instructions and internal controls.
  • Extended work hours are a necessary part of the job based on client and regulatory requirements.
