About The Position

The Senior Clerical Specialist is a vital member of the Florida Breast and Cervical Cancer Early Detection Program (FBCCEDP). The employee in this role will work an average of 40 hours per week and will be responsible for a broad spectrum of duties to support the FBCCEDP program. The employee in this position works under the direction of the Assistant Community Health Nursing Director and the Regional Coordinator of the FBCCEDP. Florida Breast and Cervical Cancer Early Detection Program Assists the Regional FBCCEDP Coordinator and back-up Coordinator with regional tasks and follow-up Checks fax in the morning; if referral is not posted in HMS scan and attach Types letters and mail applications to clients, then post on the internal referral tracking form Processes applications, call and schedule appointment for mammogram, mail voucher to client and fax voucher to mammogram provider Calls client to inform them of appointment time; if client was unable keep appointment, call to reschedule. Prints application and mammogram order of external referrals retrieved from fax, check appointment date and post on the external referral tracking form, place in accordion folder by month of appointment. Scan all identified client records for the FBCCEDP accurately and follow the identified procedures including appropriately identifying and attaching all documents in HMS Organizes and appropriately file any hard copy documents as requested by the Regional Coordinator accurately and in a timely manner Inputs new referrals and rescreens into the FBCCEDP database and HMS, alphabetize, and organize all documents and process as directed Scanning and/or photocopying of Internal and External referrals as requested for submission Assists with data entry and other tasks as assigned by the Regional Coordinator. Documents each client/follow-up/encounter under progress notes in HMS Other Clerical Duties Performs administrative support duties Answers all telephone and in-person inquiries promptly Reads and utilizes e-mail daily Performs other related duties in accordance with agency policies and supervisor instructions Completes required forms (EARS, People First) for documentation of activities. Attends and participates in staff meetings, development, or in-service trainings
