About The Position

Provides comprehensive office and clerical support to ensure efficient daily operations. Key responsibilities include time entry, IT and facilities requests, payroll reporting, and records management. The role also assists with contract management, accounting processes, and customer communication. In addition, the clerk plays a vital role in supporting storm restoration efforts and providing project-related assistance.

Requirements

  • High School Diploma or Equivalent
  • Ops Support Asst I- 0-2 Years
  • Ops Support Asst II- 2-4 years
  • Ops Support Asst III- 4-6 years
  • Ops Support Asst Sr.- 6 years
  • Knowledge of Microsoft Office Applications, Entergy Corporate applications (DSS, DIS, , Indus, Earl, Pearl, VEA, ECOS, Service Suite, AM/FM DFM & Time and Labor.
  • Must be familiar with CCS.
  • Familiar will all company policies and procedures.
  • Possess excellent communication skills, both written and oral with internal and external customers.
  • Willing to work extended hours as needed.
  • Self-starter with high initiative, willingness to learn new processes.
  • Excellent multitasking and team working capability a must.

Responsibilities

  • Perform administrative duties within the department as may be required.
  • Learn to perform necessary computer and clerical work to support department to which assigned.
  • Performs data entry associated with specific work functions within the department such as time entry for multiple construction projects, data entry associated with geocoding and AutoCAD design information and performs customer accounting transactions affecting billing and collection on customer accounts as examples.
  • Provides project assistance as directed by the department leadership.
  • Records Management Custodian responsibilities including file maintenance, reporting and compliance with internal and regulatory required records retention policies.
  • Assists in coordination of workplace safety audits and preparing associated reports.
  • Assists in preparation of the safety budget and gathering relevant information.
  • Assists in coordination of the on-boarding process and maintains employee training records and files.
  • Must be willing to assume a storm restoration role and travel if necessary.
  • Provide support for emergencies, storm work, and outage restorations (including out of town), during scheduled and non-scheduled hours as required.
  • Ability to operate standard office equipment and all programs and applications required for the position related to departmental responsibilities (Examples include but are not limited to: time entry and payroll systems, contact management systems, invoice programs, expense reporting systems, schedule systems)
  • Communicate effectively and maintain professionalism during stressful conditions when dealing with internal and external customers.
  • Communicate and provide updates to customers when work is expected to be performed.
  • Facilitate resolution of customer complaints/tickets as needed.
  • Coordinate events/meetings/trainings as requested-such as ordering supplies, food, documents, invites, maintaining calendars, and room reservations.
  • Handle administrative tasks including but not limited to mail, deliveries, and IT/facilities/access requests.
  • Provides general support to office staff, including research, documentation, and coordination with other teams.
  • Monitor and ensure accuracy of accounts payable and accounts receivable, as requested, to include documentation and invoicing, as requested.
  • Process contractors’ invoices, initiate purchases orders, claim management processing, conduct invoice validation and reconcile appropriate allocations and ensure verification of rates, per contract terms.
  • Manage/create work orders including but not limited to creating tickets and outage notifications.
  • From time to time, be able to assist with dispatching work orders, as requested
  • Runs payroll reports, advises on missed timesheets, and resolves any login or device issues for the time and labor system and creates necessary code blocks.
