About The Position

Accurately enters and verifies B2B customer orders, prioritizing deadlines and coordinating with internal teams to ensure correct and timely production.

Requirements

  • High School Diploma, General Educational Development Diploma (GED) or equivalent experience
  • Customer service or related experience (call center, administrative assistant, sales)
  • Familiarity with Microsoft Office Suite required, especially Word, Excel, and Access.
  • Must have strong communication and interpersonal skills.

  • Excel in a fast-paced environment, working against deadlines.
  • Able to spend long hours sitting, using a computer and phone which requires high attention to detail.
  • Must be punctual and able to stay on the job for the required hours.

  • Full time work schedule is typically Monday through Friday, during day shift, 40 hours per week with overtime if required.
  • A criminal background check is required for all positions, upon offer of employment.

Responsibilities

  • Business to Business- No Cold Calling
  • Receive orders mainly by email and prioritize per production “cut off” according to shipping regions.
  • Enter costumer orders in Vinylmax databases (Fenevision).
  • Orders include custom windows and patio doors (dimension, color, glass options).
  • Orders are entered by priority per “cut off”.
  • The information regarding the orders will be used by manufacturing to build the windows and patio doors.
  • Check orders to make sure the correct product is entered and manufactured.
  • This is especially important when customers draw an outline of the product requested.
  • Vinylmax will make no assumptions and orders may have to clarify with customers.
  • Most of the times a Customer Service Rep will contact the Customer but there may be a need for limited contact with customers directly by the Order Entry position.
  • Identify, research, and resolve issues using the computer system.
  • Obtain and evaluate all relevant information to handle inquiries and complaints
  • Work as a team player with Customer Service, Production, etc.
  • Direct requests and unresolved issues to the designated resource
  • Communicate and coordinate with internal departments and with customers in an open and pleasant manner.
  • External customer interactions usually include Branch Managers, Counter Personnel, and Sales Representatives
  • Recommend process improvements and be comfortable to defend position and provide feedback to Customer Service Manager and coworkers
  • Performance metrics include accuracy and volume of orders entered.
  • All orders entered will follow a complete entry, checking, and verification
