About The Position

Reporting to the Associate Director of Our Secure Future (OSF) and serving as an integral member of the leadership team, the Program & Operations Manager will be responsible for managing and directing day-to-day operations of the current OSF program. They will also work closely with the Associate Director on the expansion of the WPS Academy and other strategic programmatic priorities. This role will increase the efficiency of OSF as it grows its WPS work globally.

Requirements

  • Project management experience and attention to detail.
  • Experience planning, coordinating and/or implementing assigned programs or policies within an organization.
  • Superior communication and collaboration skills, problem-solving and analytical skills to identify and address challenges, and support leadership in effective operations.
  • A team player who loves to help their colleagues work well together and enjoys managing and improving operational work. A cheerful, “everything is figure-outable” attitude is a must!
  • 1-2 years of experience working with Zoom, Microsoft SharePoint/Teams, and Google Suite platforms.
  • Experience with oversight and management of budgetary, legal, and financial control and willingness to learn internal foundation processes.
  • Demonstrated experience in creating and managing program reporting, tracking, evaluation, and internal communication systems.
  • Strong relationship builder and communicator with experience collaborating with diverse work teams, developing and maintaining an organization-wide strategy for program excellence.
  • Demonstrates integrity, strives for excellence in her/his work, and has experience leading and inspiring others to new levels of effectiveness and programmatic impact.
  • Ability to multitask and prioritize workload in a fast-paced environment.
  • Ability to operate as an effective tactical as well as strategic thinker.
  • Ability to maintain a flexible work schedule.
  • Ability to travel domestically and internationally on an occasional basis.
  • Superb oral and written communication skills in English.

Nice To Haves

  • 5-7 years of experience or 3-5 year with MBA or JD, or equivalent, with a deep commitment to advancing Women, Peace and Security, or women’s rights in international security.
  • 5-7 years of experience at a non-profit organization, operating multiple projects across a broad geography, fundraising experience, and working with high-level senior officials.
  • Experience working in a leadership position in or with non-profit organizations.
  • Knowledge and experience of international security protocols.
  • Work experience with the State Department, Defense Department, USAID, or the US Congress on the Women, Peace and Security agenda.
  • Track record of writing and publishing on Women, Peace and Security in top tier trade publications.

Responsibilities

  • Work with OSF leadership to drive highly effective program operations and support the team to advance advocacy and WPS coalition-building work in Washington, DC and globally.
  • Support and work with OSF leadership on strategy, operations, communications, legal and accounting practices and other duties as necessary.
  • The OSF Program & Operations Manager will support the Associate Director to lead the project management processes, methods, techniques and tools for use across OSF, as well as an appropriate system of policies, internal controls, accounting standards, and procedures.
  • Actively manage multiple organizational partnerships, Fellows and intern(s).
  • Oversee the development and execution of OSF’s partner and Fellow work plans.
  • Oversee and collaborate with OSF partners and fellows to efficiently implement events, technical assistance and other key programming initiatives successfully.
  • Monitor the day-to-day operations of OSF and keep OSF leadership apprised of progress and challenges.
  • Proactively identify issues and opportunities for operational improvement across OSF activities and create and execute plans to address them.
  • Assist the OSF leadership in monitoring and approving budgetary execution.
  • Oversee activities pertaining to contracts, security, communications, public relations, events, strategic planning, IT, facilities, and other program operations that are required to effectively and efficiently support the program’s purpose.
  • Ensure effective lines of communication across PAX and within OSF, keeping OSF leadership informed of all critical issues.
  • Represent OSF external stakeholders and partners, as necessary.
  • Ensure the compliance of OSF operations with all national, state, and city regulations, certifications, and licensing requirements.
  • Support OSF leadership in monitoring staff and program performance and development goals.
  • Partner with Human Resources on recruitment, and engagement strategies.
  • Provide organizational administration of staff and company systems to enable OSF Staff to effectively carry out their job.
  • Promote regular and ongoing opportunities for OSF staff to give feedback and suggestions on OSF operations. Enjoys active mentoring for the team.
