The HOPE Program is seeking an Outreach and Admissions Coordinator who will support our city-wide outreach and recruitment efforts and execute the admissions process for our training programs. The position receives daily supervision from the Recruitment and Admissions Manager and reports to the Director of Client Engagement. The team is responsible for meeting the overall recruitment, admissions, and case management goals resulting in enrollment, completion, placement, and retention outcomes in line with HOPE’s strategic plan. In doing so, the team will assess training candidates for proper fit in order to commit to HOPE’s full-time training program as well as provide wrap-around services, wellness support and case management to address barriers that may impede their ability to successfully complete training and secure employment. The Outreach and Admissions Coordinator is expected to work a minimum of four days from the office across all HOPE and partner locations and work schedule will include evening and weekend hours.

Requirements

  • At least two years of outreach and/or admissions or workforce development experience.
  • High level of people skills with demonstrated ability to assess potential candidates for proper fit to intensive training programs.
  • Excellent oral and written organizational and communication skills.
  • Experience documenting interactions with clients within a 48 hour period and using a CRM (HOPE uses Salesforce).
  • Google Suite, Zoom and Internet research proficiency.
  • Ability to build rapport with a wide range of clients and practice client-centered counseling.
  • Must be a strong team player who works well independently.
  • Problem solver, flexible and adaptable.

Nice To Haves

  • Experience in developing processes is preferred.

Responsibilities

  • Conduct weekly virtual and in-person group presentations to inform candidate participants on The HOPE Programs training opportunities and appropriately manage program expectations.
  • Travel citywide to attend and participate and conduct outreach at tabling events, festivals, job and resource fairs, public and community board meetings, and other events.
  • Cultivate and maintain relationships with referral partners that may include elected officials’ offices, civic boards, community boards, public housing coordinators, other community partners, and police-community affairs and community council representatives.
  • Properly manage expectations with referral partner organizations to ensure that candidate applicants are aware of program requirements and commitment.
  • Work with the team to identify and conceptualize outreach campaign strategies that meet and exceed quarterly goals.
  • Track prospective candidate data and conduct candidate follow up to cultivate relationships with job seekers that generate candidates applying to and enrolling in The HOPE Program.
  • Additional data gathering as requested by leadership and organizational demand.
  • Develop outreach materials, including print flyers, social media postings, email templates, and phone banking scripts.
  • Process incoming applications for candidate training participants and assess for program fit and conduct timely follow up with and provide guidance to applicants to ensure complete applications, including required documentation.
  • Implement program tryouts and other assessment tools as needed
  • Complete intake interviews for all applicants to deepen the assessment and ensure proper processing of candidates.
  • Record intake, assessment, and any other relevant information in The HOPE Programs Salesforce database.
  • Report on applicant readiness and fit and review with the team to make a determination for acceptance into the program and promptly inform candidates – and where applicable referral partners – of admissions decisions.
  • Refer students who are not accepted to outside organizations when appropriate and record referral in the Salesforce database system.
  • Towards this end, identify and develop relationships with referral organizations.
  • Continue to follow up with accepted participants to increase likelihood of attending the first day of class.
  • Report roster of accepted participants accompanied with participant observations and concerns to the instruction team and facilitate case transfer to the case management team.
