The PACE Receptionist serves as the first point of contact for participants, visitors, and staff at the PACE Center. This role is responsible for providing excellent customer service, managing front desk operations, and supporting administrative functions to ensure smooth daily operations.

Requirements

  • Minimum of one year of experience working with geriatric or frail populations is required.
  • High school diploma or equivalent required.
  • Strong interpersonal and communication skills, with a friendly and approachable demeanor.
  • Excellent organizational skills and the ability to manage multiple tasks effectively.
  • Ability to work collaboratively within a team environment.
  • Proficiency in using computers and various software applications, including Word, Excel, PowerPoint, and Outlook.
  • Capability to work independently with minimal supervision.
  • Be legally authorized (for example, currently licensed, registered or certified if applicable) to practice in the State in which he or she performs the function or action.
  • Only act within the scope of his or her authority to practice.
  • Have 1 year of experience working with a frail or elderly population
  • Meet a standardized set of competencies for the specific position description established by the PACE organization before working independently.
  • Be medically cleared for communicable diseases before engaging in direct participant contact.

Nice To Haves

  • One year of multiline phone experience and/or reception duties preferred.
  • CPR certification preferred.

Responsibilities

  • Greet and assist participants, families, visitors, and staff in a professional and courteous manner.
  • Answer and direct incoming calls, take messages, and respond to inquiries.
  • Assist callers by quickly determining the caller’s needs and accurately directing calls to the appropriate personnel and/or department.
  • Partner with building maintenance to ensure general office maintenance and cleanliness.
  • Receive premium payments, prepare receipts, and secure premiums.
  • Schedule appointments and coordinate transportation or services as needed.
  • Complete all clerical duties such as address changes, documenting company survey results, preparing packets, and other general clerical duties as assigned.
  • Maintain the office supply inventory and order supplies as needed and/or requested.
  • Monitor visitor access and maintain security protocols.
  • Provide front line communication and relay information in urgent or emergency situations.
  • Support PACE team members with administrative needs assigned.
  • Collaborate on outreach initiatives to promote the center’s resources within the community.
  • Serve on various internal and external committees as required or designated.
  • Participate in team meetings, caregiver groups, and special events as needed.
  • Provide on-call coverage as necessary.
  • Meet department and company performance and attendance expectations.
  • Follow privacy policy and HIPAA laws and regulations concerning confidentiality and security of protected health information.
  • Perform other duties as assigned.
