About The Position

GeoControl Systems, Inc. (GCS) is hiring for corporate office administrative support. GCS provides project management, engineering, technical, logistics and administrative support services to federal and large business customers. Incorporated in 1984, GeoControl Systems is an economically disadvantaged, woman-owned small business and the company became a Small Business Administration (SBA) certified Historically Underutilized Business Zone (HUBZone) firm in 2002. The corporate office is located at 3003 South Loop West, Houston, Texas. This role is a job-share opportunity, whereby multiple individuals will perform the outlined duties on a part-time basis. The job share schedule shall be segmented into morning and afternoon shifts. Core hours for the morning shift include 8:30 a.m. to 12:30 p.m. and the afternoon shift core hours include 12:30 p.m. to 4:30 p.m. There are 401k benefits associated with this position.

Requirements

  • High School diploma or equivalent required.
  • Associate degree preferred.
  • Proficiency in Microsoft Office suite of products, including but not limited to: Word, PowerPoint, and Excel.
  • Advanced computer skills.
  • Experience with scheduling and budgeting.
  • Travel logistics and scheduling.
  • Administrative writing and reporting skills.
  • Comfortable with a matrixed work environment.

Responsibilities

  • Produces information by transcribing, formatting, inputting, editing, retrieving, copying, and transmitting text, data, and graphics.
  • Organizes work by reading and routing correspondence; collecting information; initiating telecommunications.
  • Maintains corporate office schedule by coordinating calendars and scheduling appointments for corporate personnel.
  • Arranges meetings, conferences, teleconferences, and takes detailed minutes during meetings.
  • Schedules and books travel for corporate office and field personnel.
  • Submits and reconciles expense reports.
  • Greets corporate office visitors in person or on the telephone; answering or referring inquiries.
  • Prepares regularly scheduled reports by collecting information from corporate office and field personnel.
  • Proofreads and edits documents ensuring proper spelling and grammar, as well as compliance with company policies; recommends revisions as needed.
  • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies.
  • Keeps equipment operational by following manufacturer instructions and established procedures.
  • Provides historical reference by maintaining and using filing systems.
  • Maintains contact information for company employees, suppliers, and customers.
  • Contributes to team performance by accomplishing related duties as needed.

  • This position is subject to the Service Contract Act (“SCA”) and your pay and benefits comply with the Area-Wide Wage Determination (“AWD”) applicable to the contract. This position will pay no less than the amount included in the AWD for the corresponding labor category. Additionally, this position will be eligible to receive the Health and Welfare Benefit included in the AWD, less the cost of certain benefits, including retirement
