Patient Administrative Coordinator will work under the direction of the Clinical Operations Manager supporting the clinical faculty in the care of their patients. High degree of integrated teamwork with an engaged and supportive leadership team that encourages work/life balance.

Requirements

  • High School Diploma or equivalent required
  • 3 years’ experience in patient registration, billing, hospital admissions or similar position required
  • Advanced Computer Skills including proficiency with Microsoft Office applications: Outlook, Word, and Excel required
  • Must be highly proficient in EPIC software systems, billing software, medical terminology, and able to easily learn and use web-based software applications for patient access and other clinical administration functions.
  • Candidate should have extraordinary organizational skills and attention to detail, high level of written and oral communication, and excellent customer service skills.
  • Demonstrates sound judgment and composure with the ability to take appropriate action in emergency situations
  • Be an outgoing positive team player who handles multiple projects simultaneously in a fast-paced environment

Nice To Haves

  • Associate’s degree preferred
  • Associate’s degree in business, Healthcare, or related degree preferred
  • Medical Insurance Referral experience in a clinic strongly preferred
  • One (1) year Medical Assistant (CMA/MA) or Licensed Vocational Nursing (LVN) experience within the last three (3) years strongly preferred

Responsibilities

  • Responsible for coordinating all administrative aspects of the patient flow from initial referral to patient’s final visit for the IEEM Outpatient Clinic.
  • Oversight of Clinic Services: Chart Preparations, including obtaining medical records requests and Patient Follow up, Registration and Insurance Verification.
  • Provides regular status reports during team meetings regarding visit schedules including patient status, patient volumes on unit, insurance approvals pending, and communications received from referring physician offices, etc.
  • Coordinates scheduling with that of the practitioner's schedules to ensure proper coverage of patient appointments and procedures/testing.
  • Provides administrative support to the physicians, advanced practice providers, members of the nursing staff and/or other disciplines of the clinic.
  • Coordinates copies of medical documentation with physician charges to support billing to third-party payers
  • Resolves complex patient billing inquiries and problems
  • Conducts all functions associated with patient check-in/check-out including pricing services, collecting payment, and scheduling follow-up appointments
  • Confirms next-day appointments and alerts patients as to what documentation is needed, including details associated with time-of-service payment.
  • Completes payment and benefit verification on all patients in accordance with practice policies
  • Have knowledge of insurance authorization and billing requirements for government insurance and private/commercial insurance payers.
  • Keeps patient exam rooms stocked, clean, and orderly
  • Answers phone calls and directs them appropriately, manages daily faxes, and voicemails.
  • When and if appropriate, may be asked to function as a Medical Assistant which includes but is not limited to:
  • Rooming patients, documenting vital signs, and assisting physicians and advanced practice providers in patient care.
  • Draw and collect blood samples from patients and prepare specimens for laboratory analysis and perform routine tests such as EKG’s.
  • Performs other duties as assigned
