About The Position

We are seeking a detail-oriented and compassionate Intake Specialist to join our team. This role manages the patient intake process, including scheduling, insurance verification, and communication with patients and providers. The ideal candidate is organized, customer-focused, and capable of managing priorities in a fast-paced healthcare environment. Knowledge of different medical insurances and previous insurance verification experience is required.

Requirements

  • High school diploma or equivalent.
  • Knowledge of different medical insurance coverage (HMO/PPO/Medicaid/Medicare etc.) and previous medical insurance verification experience.
  • Healthcare customer service, insurance verification, or a related role preferred.
  • Bilingual skills are preferred but not required.
  • This role requires the ability to sit for prolonged periods, use a computer, and phone extensively.
  • Ability to sit at a desk and use a computer, phone, and office equipment for prolonged periods.
  • Manual dexterity for typing and handling documents.
  • Clear vision to read screens and printed materials.
  • Effective hearing and speaking to communicate via phone and in-person.
  • Emotional resilience to professionally manage stressful interactions

  • Healthcare customer service, insurance verification, or a related role preferred.

Responsibilities

  • Process referrals, including physician notes and imaging reports.
  • Schedule appointments, follow up within 24 hours, and manage reminders or rescheduling.
  • Educate patients on insurance, financial responsibilities, and appointment details.
  • Verify benefits, calculate balances, and obtain prior authorizations.
  • Document Prescription Monitoring Program (PMP) reports and update EHR records.
  • Maintain accurate patient charts with up-to-date insurance and benefit details.
  • Collaborate with providers to request information, update referrals, and share reports.
  • Respond promptly to inquiries from patients, providers, and website submissions.
  • Maintain professionalism in handling VIP and sensitive requests.
  • Document activities in the EHR system with attention to detail.
  • Update tracking spreadsheets for bonus metrics and KPIs.
