Job Summary: The Payroll & Benefits Specialist is responsible for the accurate, timely, and compliant administration of multi-state and Canadian payroll and employee benefits programs. This role manages full-cycle payroll processing, benefits deductions and reconciliation, compliance reporting, and system data integrity within Dayforce and related platforms. This position serves as the primary functional expert for payroll and benefits system administration, including file feeds, integrations, reporting, and data audits. The Payroll & Benefits Specialist partners closely with Finance and People Operations to ensure payroll accuracy, benefits compliance, and seamless system operations across all entities.

  • Ability to reconcile complex data sets and identify discrepancies
  • Strong analytical and auditing skills
  • Excellent organizational and time management abilities
  • High level of confidentiality and discretion
  • Advanced proficiency in Microsoft Excel and reporting tools
  • Ability to manage multiple entities and cross-border payroll structures
  • Bachelor’s degree in relevant field preferred; Equivalent experience and training will be considered
  • Five (5) or more years of experience in payroll and benefits administration
  • Three (3) or more years of experience in Canadian payroll and benefits administration
  • Three (3) years of hands-on management of multi-state payroll and compliance reporting
  • Knowledge and expertise with Dayforce (Ceridian) payroll and benefit modules
  • Demonstrated experience with system integrations and implementations

Responsibilities

  • Process full-cycle payroll in Dayforce for U.S. multi-state and Canadian employees
  • Validate timesheets, earnings, deductions, tax allocations, and payroll adjustments
  • Process salary changes, bonuses, benefit deductions, retroactive adjustments, and off-cycle payrolls
  • Review and reconcile payroll registers prior to final transmission
  • Generate and distribute payroll-related reports
  • Prepare general ledger files and payroll reporting outputs for accounting reconciliation
  • Administer wage garnishments, child support orders, tax levies, and related compliance documentation
  • Support quarterly and year-end payroll reporting including W-2, T4, RL-1 summaries and other related filings
  • Administer benefit enrollments, changes, and terminations within Dayforce and carrier systems
  • Process and audit benefit deductions for payroll accuracy
  • Reconcile monthly insurance invoices and retirement plan billing
  • Support annual open enrollment in partnership with Head of People Operations
  • Maintain accurate benefits data and eligibility tracking
  • Serve as primary point of contact for employee payroll and benefits inquiries
  • Support quarterly and year-end benefit reporting including 1095-C and related filings
  • Serve as Dayforce payroll and benefits functional administrator
  • Manage inbound and outbound file feeds between Dayforce and benefit vendors, retirement providers, carriers, and other systems
  • Monitor, test, and validate data integrations and system interfaces
  • Conduct regular data audits to ensure integrity across payroll and benefits platforms
  • Troubleshoot system discrepancies and coordinate issue resolution with vendors
  • Assist with system implementations, upgrades, and configuration enhancements
  • Develop and maintain process documentation for payroll and benefits workflows
  • Create custom reports and dashboards to support compliance and business decision-making
  • Ensure compliance with federal, state, provincial, and local payroll regulations
  • Monitor state and provincial tax notices and ensure proper jurisdictional allocations
  • Support audits related to payroll and benefits administration
  • Maintain documentation for regulatory and internal audit purposes
  • Develop robust internal controls and auditing procedures for payroll accuracy
  • Process new hire payroll and benefits setup
  • Coordinate final pay processing and benefits terminations
  • Ensure timely and accurate benefit eligibility updates
  • Perform other duties as assigned
