About The Position

HelloFresh is looking for a highly organized and detail-oriented Payroll Specialist to join our dynamic People Services – US Payroll team. In this role, you will be responsible for assisting in supporting the end-to-end processing of multi-state payroll operations. You will work closely with Global People team including local HR, Benefits, HR Technology, and Shared Services to ensure payroll accuracy and deliver an exceptional employee experience. This role reports to the Senior Payroll Manager and plays a vital role in maintaining operational excellence and supporting process improvements.

Requirements

  • 3-5 years of experience in payroll
  • Strong analytical and numerical skills with exceptional attention to detail and accuracy.
  • Experience in Microsoft Excel; VLOOKUPs, pivot tables, etc.
  • Excellent written and verbal communication skills; able to collaborate across departments in a fast-paced, distributed team environment.
  • High level of integrity and discretion in handling confidential information.
  • Ability to manage multiple priorities and meet deadlines in a dynamic environment.
  • 3-5 years of experience in payroll

Nice To Haves

  • Ideally some prior experience working with global payroll systems such as Workday HCM & Payroll, ADP/Smart Compliance, or similar enterprise platforms would be preferred.
  • Prior experience in a high-growth, consumer-facing or e-commerce company.

Responsibilities

  • Support the end-to-end processing of bi-weekly and weekly off-cycle payroll for U.S. employees across multiple states in a timely and accurate manner.
  • Assist team in accurately validate payroll data including new hires, terminations, pay rate changes, bonuses, shift differentials, and leaves of absence.
  • Assist in reconciling payroll prior to transmission and validate confirmations, ensuring proper tax withholdings and deductions.
  • Partner with HR/Benefits teams to ensure accurate and complete payroll inputs.
  • Respond to employee payroll inquiries via ticket system with professionalism, providing clear and timely resolution.
  • Assist in preparing payroll reports and supporting internal audits.
  • Maintain up-to-date payroll documentation and employee records to meet audit and legal standards.
  • Participate in system enhancements, testing, and payroll-related process improvements.
  • Support special projects and continuous improvement initiatives aligned with HelloFresh’s scale and complexity.
