About The Position

The Payroll Tax Specialist supports Apex by overseeing payroll tax accuracy, compliance, and system configuration across 46 states. Apex leverages ADP SmartCompliance® for payroll tax registrations, filings, and payments; this role is responsible for monitoring, validating, and coordinating ADP’s work to ensure timely and accurate processing. Because Apex is a high-growth organization, the Payroll Tax Specialist also plays a key role in onboarding new entities, ensuring proper tax setup, and resolving any jurisdictional or filing issues that arise during integration. This position requires strong technical payroll tax knowledge, excellent problem‑solving skills, and the ability to manage complex, high‑volume tax activity in a fast‑changing environment.

Requirements

  • 3+ years of payroll tax experience in a multi‑state, high‑volume environment.
  • Strong working knowledge of payroll tax laws and agency compliance requirements.
  • Experience using ADP SmartCompliance® or similar payroll tax software.
  • Demonstrated ability to reconcile payroll taxes, resolve discrepancies, and navigate tax notices.
  • Experience with quarterly and annual processes including W‑2, W‑2C, and 1099.
  • Strong analytical and research skills, with the ability to interpret tax regulations.
  • Ability to manage competing deadlines across multiple tax jurisdictions.
  • Effective communication skills for interacting with agencies, internal teams, and field operations.

  • FPC or CPP certification preferred but not required.

Responsibilities

  • Oversee ADP SmartCompliance® tax activities, ensuring accurate registrations, filings, payments, and amendments.
  • Navigate ADP SmartCompliance® to manage jurisdictions, tax authorizations, tax profiles, and e‑filing rejections.
  • Upload and manage tax agency correspondence within ADP SmartCompliance®.
  • Maintain and monitor state, local, and SUI/SDI tax jurisdictions.
  • Process and reconcile multi‑state payroll taxes across 46 states.
  • Review and resolve payroll tax variances, discrepancies, and agency notices.
  • Submit prior‑quarter amendments and coordinate adjustments with ADP.
  • Monitor W‑2 and 1099 production, delivery status, and year‑end tax processing.
  • Research tax regulations and support complex employee tax setup requests.
  • Ensure Apex tax configurations remain compliant with federal, state, and local requirements.
  • Support payroll‑tax integration for newly acquired companies.
  • Maintain payroll tax documentation and support creation of standard procedures.
  • Assist with internal and external tax audits and provide required documentation.
