Make a meaningful impact every day. Willow Valley Communities is seeking a detail‑driven, people‑focused Practice Specialist to support the daily operations of our Nurse Practitioner Office. In this role, you’ll blend administrative excellence with warm Resident service—keeping our practice running smoothly while building trust and connection with those we serve.

Requirements

  • Two‑year college degree or technical school OR 6–12 months relevant experience/training (or an equivalent combination).
  • Strong computer proficiency; Microsoft Office experience required.
  • Excellent communication skills, attention to detail, and a collaborative mindset.

Nice To Haves

  • Experience with electronic health records (such as Point Click Care) preferred.

Responsibilities

  • Demonstrates proficiency in full range of billing procedures: submission, review, rejection/denial management, reconcile accounts, manage receipts and deposits, credentialling. Maintains accurate files for work in progress and follows up on claims not paid.
  • Liaison with insurance companies, and WVC finance team.
  • Creates useful reports for finance team and practice leadership.
  • Communicates with finance team for posting of deposits and charges to Resident or Member monthly statement.
  • Assists with Resident billing questions.
  • Reviews and codes invoices for signatory approval. Ordering supplies as determined by the clinical team.
  • Remains current with billing guidelines, Medicare reimbursement systems, and various insurance requirements.
  • Submits data to government agencies as needed for merit-based incentive program (MIPS).
  • Check in and check out Residents – verifying identity, and data entry of required information.
  • Front desk reception duties, answer phones, communicate patient needs via electronic messaging with the clinical team, day to day administrative and clerical activities, data entry, scheduling appointments according to Resident needs through appropriate prioritization, confirming appointments, maintain office hours/schedule per direction of NP office leadership.
  • Maintains health records ensuring quality and HIPAA standards are met.
  • Collaborates with team to ensure smooth and efficient practice operations. Meets with NP office leadership concerning daily assignments, policies, procedures and assigned projects.
  • Assist with marketing for practice growth – attending expos, open houses, meet & mingle, promoting marketing opportunities via intranet, TV, newsletter, etc.
