Location: Middletown, NY (Covers Ulster and Orange) Hours: M-F 830 am to 5 pm Salary: $75,000 OVERVIEW OF PRIMARY RESPONSIBILITES: The Process Improvement Coordinator supports Behavioral Health quality improvement initiatives, regulatory compliance efforts, and electronic health record (EHR) optimization to enhance client outcomes and operational performance. This position collaborates with Behavioral Health leadership to ensure compliance with local, state, and federal regulations and quality standards, including CCBHC requirements. The role reports to the CCBHC Program Director and provides supervision to the Data Specialist.

Requirements

  • Minimum of three (3) years of experience in behavioral health.
  • Working knowledge of applicable local, state, and federal regulations and guidelines (including but not limited to OMH, CMS, CCBHC, and NYS Justice Center requirements).
  • Strong analytical skills with experience in data reporting and trend analysis.
  • Proficient in Microsoft Office applications (Excel, Word, PowerPoint).
  • Highly organized with strong attention to detail.
  • Ability to work independently, prioritize tasks, and take initiative.
  • Excellent verbal and written communication skills.
  • Ability to collaborate effectively with clinical, administrative, and leadership teams.
  • Bachelor’s Degree required

Nice To Haves

  • Master’s Degree preferred (public health, health administration, behavioral health, or related field preferred).
  • Experience in quality improvement, compliance, audit preparation, or healthcare process improvement strongly preferred.

Responsibilities

  • Maintain comprehensive knowledge of behavioral health regulations and regulatory guidance, including but not limited to OMH, CMS, CCBHC, and NYS Justice Center requirements.
  • Evaluate departmental practices and assist teams in operationalizing regulatory and compliance standards across programs.
  • Coordinate preparation for external audits and reviews (including OMH operating certificate/licensing reviews) through internal chart audits, special reviews, and development of staff guidance materials.
  • Conduct data analysis and trend identification through reporting mechanisms to reduce billing errors, ensure regulatory compliance, and improve adherence to evidence-based practices.
  • Lead and support EHR transformation efforts aligned with best practice guidelines and quality improvement priorities.
  • Collaborate with Behavioral Health leadership to develop and deliver training, guidance, and corrective action plans to promote continuous process improvement.
  • Ensure timely reporting of internal key performance indicators (KPIs) and required external quality metrics to oversight agencies.
  • Monitor and report on standardized screening tools and quality indicators, including but not limited to PHQ-9, GAD-7, and C-SSRS, in accordance with CCBHC and regulatory requirements.
  • Serve as a member of the Zero Suicide Committee and oversee measurement reporting related to suicide prevention initiatives.
  • Attend and participate in internal and external meetings as directed by supervision.
  • Supervise and provide oversight to the Data Specialist role.
  • Assist program directors with documentation standards, workflow development, and quality assurance processes.
  • Develop written guidance documents and tools to support staff compliance and audit readiness.
  • Support interdisciplinary collaboration to enhance service delivery, documentation accuracy, and performance outcomes.
  • Identify opportunities for operational efficiency and recommend system-level improvements.
  • Support organizational readiness for Medicaid audits and quality reviews.
