About The Position

Fooji is seeking a detail-oriented, proactive, and resourceful Procurement Specialist to own purchasing execution across our client campaigns. No two campaigns are the same — the items we purchase range from branded swag to drone deliveries and in-market partners for on-demand activations, spanning a wide variety of vendors and markets. This role is the operational engine that keeps it all moving, ensuring everything is purchased, tracked, and documented accurately and on time. You'll work closely with the Creative Buyer, Project Management, Warehouse, and Accounting teams — sitting at the center of campaign execution and owning the vendor relationships that make it all possible. This is not a hand-it-off-and-wait role. You'll be expected to move fast, think on your feet, and take full ownership of your work from the first purchase order to the final invoice. Success in this role will be measured by on-time delivery, purchasing accuracy, vendor performance, and cost control. Requirements

  • Experience in procurement, purchasing, vendor management, supply chain, or operations.
  • Strong organizational skills with the ability to juggle multiple priorities without dropping the ball.
  • Experience coordinating vendors and resolving issues in time-sensitive environments.
  • Strong communicator — confident working across internal teams and external partners alike.
  • Obsessive attention to detail in documentation, tracking, and follow-through.
  • Thrives in fast-paced environments with shifting priorities and tight deadlines.
  • Flexible schedule — ready and willing to support on nights or weekends when campaigns demand it.
  • Knows how to work within a process and when to go around one to get the job done.
  • Tech-savvy with a genuine interest in finding efficiencies through automation.
  • Must be willing to work onsite in Lexington, KY. No relocation assistance provided.

Responsibilities

  • Purchasing Execution: Execute all purchases based on product selections and scope provided by the Creative Buyer — you're the one pulling the trigger and making it happen.
  • Manage a high volume of campaign purchasing activity that ebbs and flows with campaign cycles — comfortable shifting gears quickly as demand ramps up during peak periods.
  • Confirm pricing, order details, production timelines, and delivery expectations with vendors.
  • Ensure all purchase information is submitted accurately and on time to Accounting, including invoices, coding, and supporting documentation.
  • Keep clean, reliable records of purchasing activity, vendor quotes, approvals, and order changes.
  • Order Tracking & Issue Resolution Monitor every open order to ensure items are on track — if something looks off, you're already on it.
  • Get ahead of delays, shortages, or quality concerns before they become campaign problems.
  • Keep Project Management and Warehouse teams in the loop on order status, risks, and expected delivery timing.
  • Vendor Management & Onboarding Build genuine relationships with vendors — not just transactional ones — to drive reliability, responsiveness, and better pricing over time.
  • Own a living vendor database: contact info, capabilities, payment terms, tax documentation, and pricing history.
  • Lead the onboarding of new vendors as Fooji expands into new product categories.
  • Track vendor performance and use that data to make smarter decisions and sharper negotiations.
  • Cost Tracking & Reporting Stay on top of campaign purchasing spend and flag trends before they become issues.
  • Contribute to regular reporting on vendor activity, spend trends, and cost savings opportunities.
  • Own post-campaign cost reconciliation — comparing estimated vs. actual spend and surfacing insights for the team.
  • Always be looking for ways to do things more efficiently and cost-effectively.
  • Cross-Functional Collaboration Be a reliable, communicative partner to Creative Buyer, Project Management, Warehouse, and Accounting — everyone should know they can count on you.
  • Review inbound items for quality or quantity discrepancies and escalate issues quickly.
  • Jump in on additional procurement needs as Fooji evolves — this role will grow with the company.
