Position Summary The Product Purchasing Assistant (Glasgow, KY) purchases pharmaceuticals to meet company requirements. This person coordinates purchasing plans to ensure materials are provided according to schedules, in order to maintain production. They work to resolve material shortages and develop new supply sources, as required, specifically when current supplies are inadequate. The Product Purchasing Assistant (Glasgow, KY) also coordinates purchasing activities with other departments to maintain inventory at planned levels. This person acts as primary notification and consolidation point for receiving, processing, and reporting product complaints. Finally, they will document and track contact information, licensure, reported issues, and problems in accordance with company guidelines and external regulatory requirements. Regular attendance is an essential function of the job.

Requirements

  • 1+ year of experience in customer service and/or health care.
  • Must reside within a commutable distance to Glasgow, KY.
  • Demonstrated proficiency in Microsoft Office Suite, including Excel (formulas and functions, specifically) Outlook, and Word.
  • High school diploma or GED.

Responsibilities

  • Create purchase orders for pharmaceuticals in inventory management system.
  • Submit order template for CVS EDI (Electronic Data Interchange) submission.
  • Follow-up with vendors for product requirements and arrival to meet production schedule.
  • Create documents to facilitate receiving.
  • Coordinate the first phase of vendor/product problems, as well as the resolution of all inventory order problems.
  • Submit weekly manufacturer backorder report to corporate purchasing.
  • Maintain supplier licensure.
  • Complete and submit shortage/concealed damage forms and track from notification through return (if required).
  • Track vendor performance.
  • Periodically coordinate review of inventory for expired or damaged products.
  • Maintain competency for product purchasing responsibilities.
  • Maintain purchase order and receiving documents.
  • Perform inventory for production supplies, as well as general long-term care (LTC) Inventory Management duties.
  • Follow all applicable government regulations, including HIPAA (Health Insurance Portability and Accountability Act of 1996), FDA (Food and Drug Administration), OSHA (Occupational Safety and Health Administration), and EPA (Environmental Protection Agency).

  • Perform additional duties as assigned by management.
