The PM Administrative Assistant supports the construction project management team, ensuring smooth office operations, accurate project documentation, and timely coordination with vendors, subcontractors, and clients. Requirements

  • Administrative experience in construction, residential remodeling, or custom home projects preferred
  • Strong organizational and multitasking skills, with attention to detail
  • Computer proficiency; experience with BuilderTrend or willingness to learn
  • Strong communication skills for client, team, and vendor coordination
  • Ability to work independently and anticipate project needs
  • Located in or near Hilton Head Island, Bluffton, or Hardeeville

Responsibilities

  • Maintain office supplies and coordinate orders (toner, paper, Amazon, client gifts, etc.)
  • Answer phones and route calls to project managers or team members
  • Create and maintain project files in BuilderTrend, including permits, approvals, and contracts
  • Assist with pre-construction tasks: order surveys, elevations, benchmarks, and materials
  • Track selections and coordinate shipments with the Project Manager
  • Update BuilderTrend with estimates, bids, inspection reports, and job documentation
  • Prepare final paperwork for job close-outs and client gifts
  • Support Production by issuing POs and COs, releasing work orders in phases, and notifying accounting of changes or overages
  • Ensure vendors and subcontractors follow company PO procedures
  • Assist with employee, client, and subcontractor events and appreciation luncheons
  • Maintain current knowledge of BuilderTrend software and best practices
