About The Position

The Program Administration Specialist provides comprehensive administrative and operational support to a program or project office in a federal contracting environment. This role ensures the successful coordination of schedules, deliverables, reporting requirements, and internal processes in support of contract performance. The specialist works closely with program leadership to maintain organization, ensure compliance with contractual obligations, and facilitate effective communication across stakeholders. Requirements

  • Approximately four (4) years of related experience supporting program or project administration
  • Experience supporting federal contracts, task orders, or proposal efforts
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook), Microsoft Visio, and Microsoft Project
  • Strong organizational skills and attention to detail
  • Ability to manage multiple priorities in a deadline-driven environment
  • Strong written and verbal communication skills

Responsibilities

  • Support program and project leadership in the preparation and maintenance of management plans, reports, and contract documentation
  • Coordinate schedules and milestones to support proposal development, contract deliverables, task order reviews, and in-process reviews (IPRs)
  • Assist in the development and preparation of executive briefings and presentations
  • Track deliverables to ensure timely submission in accordance with contractual requirements
  • Perform analysis, development, and review of program administrative standard operating procedures (SOPs)
  • Maintain documentation repositories and version control for program materials
  • Support internal and external reporting requirements
  • Facilitate coordination across cross-functional teams to ensure alignment on project timelines and deliverables
  • Utilize Microsoft Office Suite, Microsoft Visio, and Microsoft Project to develop documentation, schedules, and visual process workflows
