Our Science Education (SciEd) pre-baccalaureate education programs for high school students, undergraduates, and secondary science teachers leverage the expertise of an exceptional faculty and support staff to engage high school and college students in biomedical research and other related careers. Students join a supportive scientific community, build networks, and advance their career/professional goals. Within SciEd is a cross-divisional initiative known as Hutch Advance. Hutch Advance is a group of programs designed to address broad workforce needs by fostering an awareness of a wide range of critical STEM-adjacent careers and creating intentionally designed career pathways for pre-baccalaureate students that do not require a 4-year degree. The initiative consists of the following programs: HutchCAN – a career awareness program for high school students PACE – a career awareness program for 2- and 4- year college students LabLaunch – a career pathway program for lab technicians ASCEND – a career pathway program for clinical research coordinators This role will primarily focus on the HutchCAN program but also provide additional support for PACE, LabLaunch and the broader SciEd including the Summer Undergraduate Research Program (SURP). SURP is an intensive, nine-week internship designed to provide research experience and mentorship for undergraduate students representing institutions nationwide who are interested in biomedical research. This role will support the development of the HutchCAN program including recruitment of Fred Hutch staff to host sessions, preparation of mentor and participant training materials, participant recruitment, tracking and dissemination of acceptance status, assembling and mailing welcome packets, disseminating pre- and post- surveys, and assisting with post-program evaluation report. The role will also support routine administrative tasks for the PACE, LabLaunch and SURP programs. This role works under the supervision of the Associate Vice President for SciEd and Program Manager(s) to complete programmatic tasks in addition to special assignments as needed. This is a time-limited position and initial funding commitment is for a 12-month period only.

Requirements

  • High school graduation or GED.
  • Minimum of three years experience in a related field.
  • Proficiency with Microsoft Office applications and other design software (i.e. MS Word, Excel, MS Teams, Canva).
  • Be able to work independently as well as within a team.
  • Be highly dependable.
  • Have excellent attention to detail.
  • Possess strong organizational skills.
  • Have the ability to manage multiple tasks and priorities efficiently.
  • Have excellent written and verbal communication skills.

Nice To Haves

  • Post-secondary degree (associate or bachelor’s degree).
  • Two years’ experience in STEM outreach/education, program specialty or a related field.

Responsibilities

  • Assist with identifying and recruiting staff from across the Center to participate in the program
  • Assist in coordinating planning meetings between program partners including scheduling appointments, preparing a meeting agendas, sending meeting reminders
  • Create recruitment materials and liaise with community partners to host program recruitment events for students
  • Assist with developing training materials for staff and workbooks and resource materials for participants
  • Manage program calendars, scheduling planning meetings, training sessions and program sessions
  • Leverage existing systems to set-up application forms and onboarding paperwork for incoming program cohorts
  • Assist with facilitating program orientation sessions for mentors and participants
  • Liaise with program presenters each week and collect post-session feedback
  • Distribute weekly post-session surveys and compile feedback and disseminate where necessary
  • Track expenditures and reconcile program specific purchases
  • Assist with the preparation of the annual program evaluation report including compiling data from surveys
  • Maintain organization of project-specific documents within the HutchCAN electronic file folders
  • Maintain the HutchCAN and Hutch Advance websites and update web content on an as-needed basis
  • Perform other duties as assigned
  • Assist with the coordination and oversight of the SciEd programs, including interns’ travel and housing, event orientation, networking events, social activities, workshops, a competitive poster session, and other tasks as-needed.
  • Maintain SURP and SciEd webpages, making edits as needed.
  • Organize and maintain inventory of SURP materials, including kitchen kits, fans, tabletop sign holders, brochure holders, clipboards, Fred Hutch logo items, and other supplies.
  • Prepare, submit, and track travel reimbursement requests and payment requests on behalf of SciEd participants.
  • drafting and processing correspondence with participants, proof-reading materials, data entry, scheduling appointments, meetings, and workshops, making on-campus room reservations, and relaying feedback and information to project staff and program personnel as appropriate.
