About The Position

A Program Assistant is responsible for providing administrative support to team members and will perform a full range of office assignments and general support to the administrative staff of assigned programs.

Requirements

  • Must have a minimum of a high school diploma and (2) years of continued education; or an equivalent combination of skills, experience, and education may be considered at the discretion of the Agency.
  • Demonstrated knowledge of general office procedures.
  • Demonstrated ability to perform work requiring precision, with a high degree of accuracy.
  • Ability to receive, understand, and communicate information effectively, and follow instructions.
  • Excellent time management skills, phone etiquette, strong organizational skills, and the ability to multitask.

  • Must successfully obtain Criminal History Clearance from the PA State Police, Child Abuse Clearance from the PA Department of Human Services, and FBI Fingerprint Clearances.
  • Must not be excluded from participation in Medicare, Medicaid, or any other federal health care program.

Responsibilities

  • Implements and completes procedures resulting in the successful processing of work through the office and/or program.
  • Distributes mail and agency correspondence and maintains program communications as assigned.
  • Responsible for tracking mobile case management stats for the state and Westmoreland Drug and Alcohol Commission (WeDAC).
  • Responsible for tracking monthly assessments to make sure DA CM staff are in compliance with WeDAC, DDAP, and Beacon.
  • Responsible for tracking the priority populations for WeDAC.
  • Responsible for tracking entering GPRA’s into WITS.
  • Responsible for CRS referral tracking and linkage.
  • Assists in the maintenance of the program filing system and assists other program staff, as directed.
  • Other duties as assigned.
  • Adheres to all policies, laws, regulations, and codes of ethics and confidentiality as outlined by federal and state laws, and agency policies and procedures.
