About The Position

The Program Assistant provides programmatic and administrative support to the Healthy Start program. This position serves as a key point of contact for participants and visitors, coordinates referrals, assists with documentation and database management, and supports the program’s day-to-day operations. The Program Assistant ensures compliance with program guidelines, maintains accurate records, and assists with quality improvement activities under the direction of the Healthy Start Director.

Requirements

  • Administrative and Organizational Skills: Strong time management, organization, attention to detail, customer service, and problem-solving abilities.
  • Technical Skills: Proficiency in basic computer and data entry tasks with the ability to learn new databases or software.
  • Interpersonal Skills: Courteous, effective communicator with individuals from diverse backgrounds.
  • Team Player: Cooperative and dependable, fostering positive relationships with colleagues and community partners.
  • Education: High school diploma or equivalent required.
  • Driver’s License: Valid driver’s license and ability to travel throughout the service area.

Nice To Haves

  • Two (2) years of experience as a program assistant, administrative assistant, or equivalent role.
  • Knowledge of community resources in Dauphin County and surrounding areas.
  • Bilingual in Spanish preferred.

Responsibilities

  • Act as the first point of contact and greeter for all Healthy Start participants and visitors in person and via telephone.
  • Manage program referrals by logging all incoming referrals, verifying insurance, scheduling intakes for the Enrollment Specialist, and providing resources to ineligible referrals.
  • Work with case managers to upload required program documents into the database.
  • Coordinate the program’s partnership with Healthy Steps Diaper Bank, including submitting bi-weekly diaper orders, retrieving and distributing supplies, and monitoring compliance with order limits.
  • Complete required workflows in the electronic medical record for participants receiving reimbursable behavioral health services.
  • Monitor, maintain, and organize program supplies; ensure the front desk and lobby area remain presentable.
  • Assist with departmental ordering and inventory management as directed by the Director.
  • Support program quality improvement activities and collaboration with internal referral partners.
  • Participate in department meetings, events, and outreach activities.
  • Ensure compliance with policies, program funder requirements, and regulatory standards.
  • Enter all required documentation electronically into appropriate databases accurately and efficiently.
  • Track and complete continuing education credits as required by program regulations.
